Job Description

As an assistant in the Business Support Team, you will support our Legal Cashier, Legal Assistant and Practice Manager. This is a great chance to gain experience across several functions that are vital to the operation of a law firm. You will work closely with members of the team to develop your skills and understanding of the tasks. We do not expect you to have prior experience of all these tasks, so long as you are enthusiastic to learn. The division of your work will depend upon resources and workload amongst the departments and will include covering team members on leave. Your tasks will vary week-to-week, but will include a mix of: Admin:·       Answering phones, being a friendly and approachable first contact for clients. You will handle new enquiries, getting the necessary information with sensitivity.·       Keeping matters up to date on our central system.·       Liaising with external contacts, such as barristers’ chambers and the other side on matters.·       Inputting information into templates and formatting documents.·       Document filing and organisation, including creating bundles.·       Booking appointments and managing the team’s calendars.·       Completing online ID checks. Finance:·       Create fund requests and invoices, and take payment by phone.·       Set up invoices on our accounting software (Xero).·       Keep our database up to date with budgets and payments.·       Update internal spreadsheets recording our performance.Business development:·       Work with fee earners to produce case studies.·       Source and compare quotes for services.·       Research opportunities.·       There is potential to get involved in other tasks, such as social media and newsletters, depending on your interests.  Person specification·       Friendly and approachable, to make a good impression on clients. Enthusiastic about great customer service.·       Willing to learn.·       Confident with technology. We use Clio, Xero, Adobe and Excel, among others.·       Understanding of confidentiality and data protection principles (training provided).·       Comfortable working with numbers.·       Related experience is beneficial but not required.
