As part of our ongoing growth, we are looking to hire a Document Controller to join our multidisciplinary design team in the United Arab Emirates.Responsibilities: Establish and maintain a comprehensive document control system for all project-related documentsReceive, log, and distribute incoming and outgoing documents in a timely mannerEnsure all documents are properly filed, stored, and easily retrievableMaintain and update document registers, databases, and archivesImplement and monitor document control procedures and workflowsAssist in the preparation and distribution of reports, presentations, and other project-related materialsCollaborate with project teams to ensure proper document version control and revision managementConduct regular audits to ensure compliance with document control proceduresTrain and support team members on document control processes and systemsManaging calendars, assisting in meetings and sending out minutes of meetings.Ensure proper coordination with site offices, contractors and consultants with regards to submittals and other project documentationsAssist in monitoring of design submissions and RFI's status report.Preparation of Letters, Transmittal, Payment Request, Purchase Request, Internal memo etc.Assist Head of Department, Architects, Engineers and Consultants in scheduling, arranging appointments with Authorities and/or other stakeholders. Requirements: Proven experience in document control or project administration, preferably within an architectural or engineering consultancy or construction environment.Proficiency in Microsoft O􀆯ice Suite (Word, Excel, Outlook) and specialized document management software (e.g., Aconex, Procore, SharePoint).Exceptional organizational skills, attention to detail, and the ability to manage a high volume of documents across multiple projects.Strong written and verbal communication skills to liaise effectively with diverse stakeholders, including clients, contractors, and design teams.Resourcefulness and the ability to troubleshoot issues and discrepancies related to documentation.A diploma or a bachelor’s degree in a related field (e.g., Business Administration, Information Management, Engineering) is preferred.
