Job Title: Document controller & Admin Assistant Department: Construction / ProjectsDuration: 6-Month ContractJob Summary:We are seeking a highly organized and experienced Admin Assistant to provide administrative, coordination, and documentation support to the Projects Department. The ideal candidate should have a strong background as a Document Controller (DCC) within the construction sector, with excellent skills in document management, meeting coordination, and communication.Key Responsibilities:Provide comprehensive administrative and clerical support to the Projects Department.Manage, organize, and maintain project documents in compliance with company standards and DC protocols.Schedule and coordinate meetings, including preparing and circulating Minutes of Meeting (MOM).Manage the Projects Director’s calendar and inbox, filtering and prioritizing high-volume emails to highlight urgent and important matters.Liaise with project managers, engineers, and external stakeholders to ensure efficient document flow and timely communication.Track, monitor, and follow up on project correspondence, actions, and deadlines.Draft and format letters, reports, and other project-related documentation.Ensure accuracy, confidentiality, and compliance in maintaining project records.Utilize advanced Excel functions (e.g., Pivot Tables, VLOOKUP) to manage and analyze large data sets effectively.Requirements:Proven experience in an administrative or document control role within construction projects.Strong background and hands-on knowledge of Document Control procedures and protocols.Excellent organizational and time-management skills, with attention to detail.Proficiency in MS Office (especially Excel, Word, and Outlook) and document management systems.Strong communication skills in English (both written and verbal).Ability to work under pressure, manage multiple priorities, and meet deadlines.
