The Event Administrator plays a vital role in bringing these experiences to life—supporting the planning and execution of both virtual and in-person events.You’ll serve as a key player in coordinating educational programs, member events, and conferences that elevate our brand and strengthen relationships across our network. Working closely with the Events Coordinator and Events Director, you’ll manage project workflows, vendor relationships, and event communications to ensure flawless execution from concept to completion.The ideal candidate is highly organized with an eye for detail. You are a strong communicator, with excellent verbal and written skills, capable of effectively representing TBA and building lasting relationships with association members, industry experts, and colleagues. If you’re passionate about events, logistics, and delivering value-add programs, this position offers an excellent opportunity to grow your career in event management.Key Components of the Position: Event Planning & CoordinationSupport the planning and execution of virtual, hybrid, and in-person events including webinars, forums, seminars, conferences, and annual convention. This role will initially focus on virtual events that educate members, build relationships, and strengthen loyalty.Manage timelines, logistics, and deliverables for multiple events simultaneously.Assist in venue and vendor coordination—contracts, F&B orders, shipping, A/V, signage, and on-site logistics.Oversee registration platforms and attendee communications.Maintain detailed event documentation, including timelines, checklists, and budgets.Onsite & Virtual Event SupportServe as on-site support for setup, registration, event execution, and attendee experience.Provide virtual event management support through platforms like Zoom or similar.Coordinate post-event wrap-up including reporting and invoice reconciliation.Marketing & CommunicationsDraft event invitations, confirmations, and follow-ups via email and web channels.Maintain internal communications and project updates across tools like Asana.Administration & Process ImprovementProvide administrative and coordination support to Events Coordinator, Director, and VP to ensure efficient event workflows.Track budgets and expenses, ensuring efficient use of resources.Support publication fulfillment and LMS (Learning Management System) content development and updates.Anticipate needs, identify process gaps, and propose proactive solutions.Contribute to internal process documentation and best practices that help scale event operations.Essential Qualifications & Characteristics:Bachelor’s degree or equivalent professional experience.2+ years of experience in event planning, or project coordination.Prior experience in association management or financial services industries is a plus.Strong project management skills with the ability to prioritize competing deadlines.Excellent communication and interpersonal abilities, both written and verbal.High attention to detail and comfort managing logistics across multiple stakeholders.Familiarity with iMIS or membership databases preferred but not required.Willingness to travel occasionally (primarily within Texas).*This is a full-time, salaried non-exempt position.
