Our client, a European bank based in Luxembourg is looking for its future Executive and operational Assistant. At LHH Recruitment Solutions, we believe in talent, not labels, and embrace diversity and promote more inclusive employment to our clients and partnersResponsabilitiesExecutive & Operational SupportProvide high-level administrative assistance to the Audit Committee (AC), the Division Head, and the Head of Unit.Manage and prioritise complex calendars, coordinate meetings, and handle scheduling issues proactively.Plan and organise AC and ECA Unit meetings in all formats (virtual, hybrid, on-site), taking care of logistics, preparation of materials, and follow-up actions.Arrange travel, process reimbursements, and oversee emoluments for AC members.Draft the structure of AC minutes, coordinate the review process, and ensure timely validation and proper archiving.Administrative CoordinationOversee the shared inbox, assess incoming requests, and manage correspondence efficiently.Maintain and update databases and digital filing systems, ensuring accuracy and proper document organisation.Prepare and circulate agendas, templates, and briefing notes; ensure the AC portal is regularly updated and used effectively.Handle confidential information with discretion and prepare non-standard correspondence when required.Review secretarial outputs and help maintain a well-structured document repository.Process Management & MonitoringEnsure all services comply with AC procedures and meet document submission deadlines.Track progress on tasks linked to the AC and ECA Unit work programmes.Follow up on action points from AC meetings and monitor their completion.Support the management of the external auditor framework, including processing invoices and engagement documentation.Stakeholder InteractionFacilitate smooth communication between the AC, its Secretariat, the ECA Unit, and other internal services.Act as a central contact point for both internal and external stakeholders, managing a wide variety of requests by phone and email.Encourage stakeholders to respect processes and timelines, even in situations without direct authority.Work Programme DeliveryContribute to the preparation and delivery of key outputs such as the Annual AC Report and other core deliverables of the Secretariat and ECA Unit.Provide general administrative support across teams and take on specific or ad hoc tasks to ensure effective daily operations.Candidate ProfileAcademic Background & Professional SkillsCompleted secondary education, supplemented by a two-year qualification in a relevant field such as secretarial studies or business administration.At least five years of experience in a comparable role, ideally involving administrative, coordination, or executive support responsibilities.Strong service mindset with a clear focus on delivering high-quality support.Solid track record working in administrative environments.Proficient user of advanced features in standard office applications (Excel, Word, PowerPoint), with good working knowledge of GED, SharePoint, and PeopleSoft Financials.Excellent command of written and spoken English.Core CompetenciesDrive for Results: Actively seeks to improve performance and shows determination to meet both immediate and long-term objectives.Adaptability: Comfortable adjusting to new situations, changing priorities, and evolving working environments.Teamwork & Collaboration: Works effectively with colleagues across teams and departments, building constructive relationships and valuing different viewpoints.Commitment to the Organisation: Demonstrates integrity, embraces diversity, and aligns personal conduct with the organisation’s values and mission.To include yourself in this recruitment process; to find out more information about this role; or to discuss other career opportunities we have available, please contact Florian Letellier as soon as possible - CONFIDENTIALITY ASSURED.Ready For Next.Luxembourg
