We operate with speed, precision, and a long-term mindset.Duties And ResponsibilitiesWe are hiring a high-performing Executive Assistant to support two senior executives at Innovative Advisory Group. This role blends classic administrative excellence with real estate-specific execution, operational coordination, and lifestyle management.You’ll play a critical role in keeping priorities on track, managing day-to-day communications, and proactively handling business and personal logistics. From site visit planning to inbox triage — your work enables the executives to focus on high-impact decisions and long-term value creation.This is a fast-paced, high-trust position for someone who thrives in dynamic and changing environments and brings professionalism, poise, and proactive thinking to everything they do.Real Estate & Business SupportManage complex calendars involving site visits and internal reviewsTrack deadlines and deliverables across deal flow, development milestones, and transaction closingsPrepare meeting agendas, take notes, manage follow-ups, and support reportingCoordinate company travel for business, conferences, and property toursMaintain corporate entity compliance with Government authorities.Coordinate Company-sponsored eventsProcure supplies for office, marina and gifts for vendors and Team MembersPersonal & Lifestyle CoordinationArrange personal travel, vacations, and reservationsCoordinate family schedules, household staff, and family appointments as neededSource gifts, handle personal errands, and manage special eventsServe as liaison with personal service providers and vendorsWell-Being & Work-Life RhythmBlock and protect time for deep work, travel recovery, and wellnessSchedule medical, fitness, or personal care appointmentsSupport meal planning, groceries, or delivery schedulingMonitor weekly bandwidth and help rebalance as neededTasks To Assign To Executive AssistantTravel and flight coordination, scheduling, ground transportation and flight cateringLodging booking for out of town travelCorrespondence with partners and vendors, including coordinating and setting up Teams meetingsVendor, client and team giftsHoliday greeting creation and disseminationEvent coordination: Day at the Races, Christmas Parties, charitable eventsOrdering of supplies for office and Intrepid LandingMaintain company directory and contact listMaintain Corporate entity listing and Secretary of State complianceMeeting agendasVoting on investment proxy requestsMinimum RequirementsLanguage requirement: Excellent English Communication SkillsEducation: Bachelor's Degree (ideally)Experience: 4+ years of related experienceIndustry: Real Estate/Property IndustryQualifications4+ years supporting senior executives (real estate or financial servicespreferred)Experience working with or adjacent to real estate professionals, investors, or operatorsTech-savvy with Office 365, Teams, DocuSign, and EntrataCreating SOPsExcellent written and verbal communicationStrong organizational skills and follow-throughIdeal CandidateDiscreet, trustworthy, and incredibly organizedUnshakable under pressure and calm in fast-moving environmentsProactive — solves problems before they show upExcellent communicator across email, calls, and internal notesAble to move seamlessly between professional and personal supportPreferred ExperienceFamiliarity with real estate financing, lease administration, or transaction timelinesExperience supporting founders, managing partners, or family officesComfortable interfacing with vendors, lenders, and high-net-worth stakeholdersWhy This Role?You’ll be a key force behind two high-performing leaders responsible for managing and growing a significant commercial real estate portfolio.
