Job Description

Our client is seeking an experienced Trilingual Senior Executive Assistant to support a high-level chairman in a demanding and fast-paced, environment. This is an office based position within a team of Executive Assistants, requiring an exceptional level of professionalism, discretion, organisation and confidentiality. Note that this is NOT a family office PA role.Candidates must be trilingual Italian, English and French and have significant experience as an Executive Assistant.Key ResponsibilitiesProactively manage a highly complex and structured agenda, ensuring optimal time management aligned with strategic priorities.Organise meetings, complex travel across multiple time zones, and logistics, including last-minute changes.Handle emails, communications, and follow-ups with meticulous attention to detail and the chairman’s specific expectations.Coordinate operational stakeholders and field teams (drivers, pilots, service providers, external partners).Manage incoming calls and oversee business travel arrangements, ensuring flawless preparation and execution.Maintain absolute confidentiality at all times when handling sensitive and strategic information.Act as a gatekeeper, setting clear professional boundaries with internal and external stakeholders while maintaining a respectful and transparent working environment.Work closely with the Executive Assistant team to ensure information security and professional standards.Use Microsoft Office tools (Outlook, Word, PowerPoint, Excel) and video conferencing platforms at an expert level.Provide on-call support one weekend out of two (alternating), ensuring responsiveness and efficient handling of urgent matters.Profile RequiredSignificant experience as an Executive Assistant supporting senior or C-level executives.Trilingual: Italian, English, and French (mandatory).Proven expertise in complex agenda and travel management .Strong analytical skills with the ability to anticipate needs and adapt to shifting priorities.Highly organised, detail-oriented, and able to perform under pressure while managing multiple priorities.Confident communicator with the ability to assert boundaries firmly and diplomatically in demanding environments.Autonomous in day-to-day decision-making, with excellent judgment and discretion.Exceptional sense of confidentiality and professionalism.Excellent presentation and professional demeanour.Work HoursShifts are alternate weeks: 9:00am - 5:00pm / 12:00pm- 8:00pm, Monday – Friday.The role involves alternating on-call weekend availability (one weekend out of two) to manage urgent matters via email or WhatsApp.Please send your CV to m.collins@eurolondon.comPlease note that only shortlisted candidates will be contacted.
