The Executive Assistant plays a key role in supporting Investor Relations through coordination of investor meetings and roadshows. Responsibilities include managing credit card reconciliations, coordinating travel and expenses, supporting event logistics and ensuring smooth operations across all functions in the Melbourne office. Acting as a primary contact for internal and external stakeholders, including senior management and investors, the role requires professionalism, discretion, and strong organisational capability.Role ResponsibilitiesProvide comprehensive administrative support to the CLCAO and CDSO for their Australian-based teams, including calendar management, travel coordination, meeting preparation, expense reporting, and correspondence handling.Assist the Company Secretary and Secretariat Team with Board and Committee administration.Coordinate and manage team meetings, including agenda preparation, minute-taking, and action tracking, while ensuring secure and organised handling of legal and confidential documents.Coordinate investor communications, including scheduling calls and managing reports and inbox queries.Work closely with other Executive Assistants to share information and provide overflow support as needed.What You’ll BringYou must be committed to positively contributing to our safe, inclusive and high-performance cultureSolid experience working in corporate office environment with investor relations experienceProficient in Microsoft Word, PowerPoint, and Excel, with experience using Diligent Board software and familiarity with SAP systems and invoice processing.Experienced in working with senior executives and board membersSelf-reliant, proactive, and able to work autonomouslyIf you are excited about the role and think you have what it takes but your experience doesn’t align 100%, we still want to hear from you.Benefits To YouWe are a team focused on safety, inclusion and high performance18 weeks paid parental leave for primary carer, 3 weeks for secondary carerSuperannuation paid on unpaid parental leave, up to 12 monthsHybrid work modelSalary packaging optionsConfidential employee assistance programMental Health and Well-being programOptions to purchase annual leave (where eligible)Various corporate discount programsWorkplace giving charitable schemeOpportunities for career progression through succession planning and development reviewsPlease be advised that our hybrid work model entails three office days and two remote workdays per week.
