This individual will play a critical role in managing schedules, communications, and administrative tasks, enabling the executive(s) to focus on strategic priorities. The ideal candidate is a self-starter with excellent judgment, discretion, and professionalism.Key Roles / ResponsibilitiesManage complex calendars, including scheduling meetings, appointments, and travel arrangementsServe as a gatekeeper and primary point of contact for internal and external communicationsPrepare reports, presentations, and correspondence on behalf of the executiveOrganize and coordinate executive meetings, including agendas, logistics, minutes, and follow-upsHandle confidential information with integrity and discretionAssist with special projects, research, and event planning as neededMonitor and prioritize emails, calls, and other communicationsMaintain organized filing systems (digital and physical)Track and process expense reports, invoices, and other financial documentationLiaise with internal departments and external stakeholders on behalf of the executiveRequired Education, Experience, And QualificationsProven experience as an Executive Assistant, Personal Assistant, or similar roleExceptional organizational and time-management skillsExcellent written and verbal communication abilitiesHigh level of discretion, professionalism, and reliabilityStrong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and calendar tools (e.g., Google Calendar)Ability to multitask and adapt in a fast-paced environmentStrong problem-solving skills and attention to detailBachelor’s degree preferred, but not requiredWorking ConditionsProlonged periods sitting at a desk and working on a computer.Must be able to lift 15 pounds at times.Positions self to install equipment, including under desks.Moves throughout the building to access files.Must be able to comprehend and follow written and oral instructions.Must be able to complete tasks even with frequent interruptions.Must be able to use discretion and independent judgment as needed.Must be able to speak clearly on the phone and to fellow workers.#FIVESTONEMANAGEMENTThis job description should not be interpreted as an exhaustive list of responsibilities or as an employment agreement between the employer and the employee.
