Job Description

Are you a proactive, highly organised Executive Assistant with a passion for providing strategic and fast pace EA support? This is a unique opportunity to support two C-Suite Executives at the forefront of innovation, in a role that blends classic EA responsibilities with project coordination, stakeholder engagement, and operational excellence. Working for this FTSE 50 retailer, you will need be an agile coordinator, who has experience supporting in an ever changing environment.Key ResponsibilitiesManage inboxes, diaries, and meetings across multiple time zonesSchedule and coordinate appointments, locations, and logistics for internal and external meetingsSet up and attend CIO meetings, prepare agendas, take minutes, and follow up on actionsDraft communications on behalf of senior leaders with clarity and professionalismOrganise video conferences, room bookings, catering, and dial-insArrange complex international travel itineraries, including visas, medical arrangements, and currency needsFilter calls and requests, prioritising based on business needsPrepare presentations, documentation, briefs, and formatted materials to a high standardResearch and manipulate data for weekly meeting decks and strategic presentationsAct as a key point of contact for executives, employees, clients, and external partnersTroubleshoot IT issues and liaise with HR and IT for onboarding new joinersManage invoices, corporate card bills, personal expenses, and phone billsCoordinate UK and international departmental events and conferencesMaintain departmental databases, organisation charts, and general admin systemsCollaborate with other PAs across the wider business to ensure seamless supportProvide project management support and share best practicesPromote excellent client relationships and support visiting colleaguesArrange couriers for confidential materials as requiredCandidate ProfileExtensive experience of successfully applying PA skills within a major UK plc.Strong organisational and multitasking skills with exceptional attention to detailExcellent written and verbal communication abilitiesConfident with Microsoft Office, and presentation toolsDiscreet, professional, and able to handle sensitive informationComfortable managing competing priorities and solving problems independentlyThis role offer Hybrid working and the opportunity to work in a fast pace and varied environmentSalary £55-60,000
