Outside his professional work, he serves as Chairman of the City Harvest Food Council, a food rescue organization dedicated to fighting hunger in New York City.POSITION OVERVIEWWe are seeking a highly organized, proactive, resourceful, and collaborative Executive Assistant to provide comprehensive support to two C-level executives.This role is ideal for someone who thrives in a fast-paced environment, with strong sense of urgency, can manage shifting priorities with grace, thinks ahead to anticipate needed support, and is comfortable wearing many hats—from executive-level administrative support to team communications and coordination to assistance with logistics of new restaurant launch to personal requests.You will serve as a trusted partner to the executives as well as an integral part of the team, ensuring their time is optimized, their business needs prioritized, and that they can rest easy knowing that you are fully handling things to their high expectations. This position requires excellent judgment, exceptional communication skills, and a confident, can-do attitude.In-office hours are typically M-F, 9:00 – 5:00, however this may vary based on the Zakarians’ needs. Our business never stops, so this executive assistant is expected to be “on call” 24/7, as needed, especially when afterhours travel is involved.KEY RESPONSIBILITIESExecutive Support•           Manage complex calendars, scheduling, and meeting coordination for two C-level executives.•           Track and follow up on action items, ensuring deadlines are met.•           Act as a liaison between executives and internal/external stakeholders.•           Handle confidential and sensitive information with discretion.Travel & Event Coordination•           Plan and coordinate domestic and international travel, including flights, hotels, ground transportation, and itineraries.•           Assist with any special projects, including being on-set for any local filming or other production needs, including basic A/V support. Office Management•           Oversee day-to-day company operations•           Provide copies and filing of contracts, accounting reports, and other documents, as requested.•           Serve as point of contact for visitors and guests.•           Handle all mail and shipping (in and out) needs.Communications & Newsletter Coordination•           Draft and distribute a weekly update in collaboration with internal and external teams.•           Serve as back-up for urgent photography needs (e.g. for social media, packaging). New Restaurant Launch Support•           Assist with all logistics and organization for launch of new restaurant in St. Pete.•           Organize photos and work with sous chef on menu planning. General Administration•           Process expense reports, invoices, and reimbursements•           Maintain organized digital and physical filing systems•           Take on “anything and everything” that ensures the executives’ time is focused on high-value priorities and anticipate future needs to ensure everything runs smoothly.Personal Assistance•           Support executives with personal errands and projects, as needed.•           Manage personal tasks, such as appointments, reservations, and travel, as requested.QUALIFICATIONS•           10+ years of executive assistant experience, preferably supporting C-level executives•           Strong organizational skills with meticulous attention to detail•           Ability to manage multiple priorities under tight deadlines•           Excellent written and verbal communication skills•           Proficiency with Microsoft Office Suite, Google Workspace, and collaboration tools (e.g., Zoom)•           Discretion and professionalism in handling confidential matters•           Self-starter with a proactive approach to problem-solving•           Flexibility to handle after-hours requests or urgent matters•           The confidence and competence to put the executives’ minds at ease knowing that you have everything under control.
