Job Description

1. JOB OBJECTIVESTo serve as the primary liaison and support for the General Director (GD) in managing the operational system and overseeing the performance of all departments, ensuring the accurate and timely flow of information.To provide strategic counsel to the GD on corporate governance, process enhancement, project management, and operational strategy. To ensure that the GD’s directives are implemented completely, punctually, and with measurable outcomes.2. KEY DUTIES & RESPONSIBILITIES2.1. Operational System Management SupportMonitor and track the progress of assigned projects as directed by the GD. Synthesize and evaluate the performance of departments, providing concise summary reports, identifying core issues, and proposing remedial actions.Ensure adherence to internal procedures and regulations; propose improvements to enhance operational efficiency.Monitor the quality of internal services and departmental work performance metrics for reporting to the GD.2.2. Advisory & Research AnalysisAnalyze data and prepare comprehensive reports to support the GD's informed decision-making.Offer strategic solutions aimed at optimizing operations and increasing productivity. Evaluate operational risks and propose mitigation strategies.2.3. Information Management & Directive CommunicationFilter, select, and systematize critical information before submission to the GD.Communicate the GD’s directives to all departments, track implementation progress, follow up rigorously, and report back on results.Act as a crucial interface between the GD and management levels, ensuring transparency, accuracy, and timeliness of information exchange.2.4. Management of High-Level MeetingsPrepare all content, materials, and data required for the GD’s meetings.Attend meetings with the GD, document key issues, draft meeting minutes, and ensure post-meeting action follow-up.Analyze meeting outcomes and propose optimal implementation strategies.Prepare documentation and work agendas. Establish a performance Dashboard for departmental reports, controlling and driving the execution of the General Director’s work instructions.2.5. Project Management & System Improvement SupportParticipate in and support projects related to process improvement, automation, digital transformation, and system governance.Develop process flow diagrams, measure effectiveness, and propose continuous improvement initiatives as required by the GD (if applicable).Monitor the progress, cost, and quality of work from relevant departments, providing timely reports to the GD for prompt resolution.2.6. Representation & Delegation SupportWork with partners, authorities, and external agencies under the delegated authority of the GD.Review all documents submitted to the GD, ensuring their legal compliance, logical coherence, and practical applicability to operations.Support the GD in activities related to strategy, operational governance, and fostering a "positive" corporate culture.Manage the GD's calendar, schedule appointments, arrange meetings, and coordinate guest reception.JOB REQUIREMENTS1. GENERAL REQUIREMENTSBachelor's degree or higher in Business Administration, Economics, Law, Commerce, or related fields.Minimum of 3 years of proven experience in an Assistant to General Director/Chairman or Middle Management position.2. KNOWLEDGE BASEProficient knowledge of Corporate Governance, Operations, Project Management, and internal management systems.Foundational to advanced knowledge of Finance, Human Resources, and Corporate Legal matters.Knowledge of Digital Transformation, Data Analysis, and Process Optimization.Thorough understanding of the operating model for medium to large enterprises.3. COORDINATION & SUPERVISION SKILLSAdept in data analytics and synthesizing executive-level reports.Exceptional communication, articulation, and the ability to effectively collaborate with senior leadership.Strong Project Management skills.Excellent problem-solving skills and systematic thinking.Proficiency in Excel, PowerPoint, and work management software.4.
