Every person at the company has a real impact on our growth and the success of the companies we serveDuties And ResponsibilitiesCalendar & Inbox ManagementManage the CEO’s calendar, meetings, and travel logistics with precision, foresight, and balance.Proactively structure the CEO’s schedule by grouping related meetings, balancing workload, and maintaining a logical weekly flow.Support meeting preparation, including agendas, notes, and follow-ups.Handle a high-volume inbox, filtering out noise, flagging key items, and prioritizing urgent or strategic messages.Travel & LogisticsPlan domestic and international travel with full itineraries (flights, hotels, transport, gyms, coworking spaces).Coordinate in-person meetings, including booking venues, arranging catering or meeting rooms, preparing materials, and ensuring smooth execution.Manage personal appointments and tasks.Operational & Team Support Assist with company-wide organization and logistics, ensuring internal systems, files, and processes are always up to date.Support initiatives that strengthen culture — e.g., recognizing milestones, sending care packages, or organizing thoughtful celebrations.Use and maintain internal tools including Google Workspace, Notion, and Slack.Leverage AI tools (like ChatGPT) to automate and streamline repetitive tasks, communications, and processes.Support employee onboarding/offboarding, including hardware setup, access provisioning, and process coordination.Minimum RequirementsLanguage requirement: Excellent English Communication Skills (slight accent is okay)Education: Bachelor's Degree (ideally)Experience: 5+ years of related experience5+ years of experience as an Executive Assistant, Administrative Assistant, or Operations Coordinator supporting senior executives.Excellent written and verbal English communication skills.Project management experience is advantageous.Strong attention to detail, organizational skills, and ability to multitask across shifting priorities.Confident with Google Workspace (Gmail, Calendar, Drive, Docs, Sheets), Notion, and Slack.Demonstrated ability to work independently and proactively with limited supervision.Tech-forward mindset with comfort using AI and productivity tools.
