We are seeking a highly organized and detail-oriented Executive Assistant to join our Vancouver office.The successful candidate will serve as an Executive Assistant, reporting directly to the President while supporting the management team as needed. This is a full-time, in-office position.KEY ADMINISTRATIVE RESPONSIBILITIES: Scheduling, Calls, and Travel ManagementManage multiple calendars for the President, team, and artistsSet up conference calls, call times, and meetings with internal staff and external clientsSchedule personal and professional appointments and meetingsRecord meeting minutes and distribute action items accordinglyCoordinate and book travel, ensuring all travel protocols are metManage travel rewards programs and track travel expensesDocument and File ManagementDraft and prepare official documents, memos, and reports as neededOrganize financial files, track receipts, and reconcile credit card statementsMaintain secure password logs and contact databasesOrganize information and paperwork, ensuring file systems are accurate and up to dateInbox ManagementHandle incoming calls and emails in a prompt and professional mannerManage the President’s inbox, including drafting and responding to correspondence as needed Prioritize and organize incoming communications to ensure timely follow-upOversee general tech maintenance, computer backups, and junk mail checksOffice ManagementMaintain a clean and organized workspaceAssist in creating and implementing office policies and proceduresSupport in event planning and coordinationOrdering office supplies, stationary, and business materialsHandle mailing, scanning, shipping, and photocopyingCoordinate client and partner gifts and cards as neededLiaise with building management and vendors when requiredOther TasksHelp manage President’s work flow, task list, and personal endeavours as neededCollaborate on various projects and initiatives, providing administrative support as neededAssist with posting and and scheduling content on the company’s social media channelsHandle confidential information with discretionSKILLS & EXPERIENCE REQUIRED:Minimum 3 years’ proven experience as an Executive Assistant or similar admin roleExceptional organizational, time management, and multi-tasking skillsExcellent written and verbal communication skillsAbility to manage a high volume of tasks with strong attention to detailProactive, resourceful, and solution-oriented under pressureStrong interpersonal skills and ability to work as part of a close-knit, energetic teamProficiency in MS Office, Google Workspace, Dropbox, and MacOSTechnically proficient and quick to learn new software, tools, and digital systemsHigh level of discretion and professionalismAvailability outside regular office hours on occasion Experience or interest in the music industry is a strong asset but not requiredHOW TO APPLY:Please send resume and cover letter with subject line "Executive Assistant Application - [Your Name]” to workatwener@gmail.com by Friday, November 21, 2025. Wener Mgmt is committed to equity and diversity, and strongly welcomes and encourages applications from Indigenous, Black and people of colour, women, persons with disabilities, people who are LGBTQ2S+, and people from other diverse communities.We thank all applicants in advance for their interest; however, only those candidates selected for an interview will be contacted.
