This is a back-office administrative role with no client-facing duties. The right candidate will have prior experience in wealth management or financial services and be comfortable working with industry-specific software.Responsibilities—what you'll do:Manage administrative tasks for the Managing PartnerPrepare, track, and organize client forms and paperworkEnsure client invitations are sent for quarterly reviewsDistribute client review packs on scheduleMaintain DocuSign templates and oversee completion trackingManage calendar scheduling and meeting coordinationOrganize tasks and deadlines within the CRM systemFollow up on outstanding items and ensure timelines are metRequirements:1-3 years previous experience as an administrative or executive assistant, preferably in the Wealth Management industryFamiliarity with financial services workflows preferredExperience with AT LEAST TWO of the following tools is necessary:Redtail CRMOrion (operations software)E-Money (financial planning software)Charles Schwab (investment software platform)Significant experience of managing office procedures and working with sensitive corporate informationStrong knowledge of cloud systems٫ online calendars, and other related solutionsFully fluent in EnglishSkilled in the use of apps and technologyAbility to commit long-term and full-timeAbility to work U.S. business hours (Pacific Time, Central Time, or Eastern Time)This position is for serious, career-oriented candidatesIdeal CandidateBackground in wealth management, financial planning, or investment firmsComfortable learning new financial software quicklyWorks independently with limited oversightReliable, discreet, and detail-orientedWhat we offer:Best salaries in the industryPermanent ability to work from anywhere in the worldOpportunities for growth and advancementA fast-paced and collaborative environmentWarm and friendly company cultureFull benefitsBenefits at Persona:Health insuranceUnlimited paid time off (paid sick and vacation leaves)Annual bonuses based on performanceMonthly tech allowanceOpportunity to be paid in your currency of choiceOthers depending on seniorityThis is a full-time and long-term role, dedicated exclusively to serving one of our clients.
