This role ensures smooth day-to-day operations, supports internal and customer-facing processes, and upholds high standards of security, compliance, and service delivery.Key ResponsibilitiesOnboarding support activitiesOnboarding related activities such as mobile phone subscriptions, network subscription, lunch benefit etc.Coordinating onboarding and off-boarding activities in Facility areaSupport for security clearances procedure.Facility management supportVarious data collection activities regarding sites, systems and toolsMonitoring and storing supplier contractsSupport with communication material regarding facilities, Viva engage, Intra pagesCoordinate ad hoc orders.Sales supportManage appendices for bids and market-specific documentationCoordinate criminal record extract processes for procurement proceduresHandle customer compliance clarifications and security clearance processesVerify credit information and support customer security clearance documentation.IT & Access ManagementHandle AARM requests for user access rightsManage ticketing system.Event & Communication CoordinationOrganize internal and customer events and meetings in FinlandMaintain and manage email distribution lists for event communicationsSupport onboarding day logistics and internal engagement activities.Administrative Systems & ToolsManage document handlingOversee purchase order processes and approvalsMaintain local website content and updates.QualificationsProven experience in facilities management, administration, or operationsStrong understanding of compliance and security processesExcellent organizational and multitasking skillsProficiency in tools such as Microsoft OfficeFluent in Finnish and English (written and spoken).Preferred SkillsExperience working in a regulated environmentFamiliarity with procurement and bid processesStrong interpersonal and stakeholder management skills.Interested?We’d love to hear from you!
