Job Description
JOB PURPOSEProvide administrative support and coordination for overall front office activities, including the reception area, mail, large purchasing requests, and facilities. Also responsible for directing and coordinating office services and related activities, receiving, and directing guests and visitors. Responsible for arranging internal office moves and providing arrangements for office meetings.MINIMUM QUALIFICATIONS/EDUCATION/EXPERIENCE/TRAINING/TECHNICAL SKILLSQualifications and Education:Bachelor’s degree of business administration – preferably business or finance major.Experience:2 - 5 years’ experience in the field of office management with at least 5 years working with executives.RepresentativeTechnical skills:Ability to speak, read, understand and write English business languageHigh level of proficiency in Microsoft Office applications (especially Excel)Ability to communicate confidently and clearly in EnglishOpen minded and actively seeks out new ways of workingAbility to prioritize and organize own work in order to make the most efficient use of the time availableCommunication and relationship management skillsPlanning and organizing skills, problem-solving and details orientation skillsAnalytical skillsIntrapersonal skillsCommitment and disciplineStrong PR skillsJOB RESPONSABILITIESJob Responsibilities Area:Manages the reception area to ensure effective telephone and mail communications both internally and externally to maintain a professional image.Supervises and coordinates overall administrative activities for the Office, including meeting room reservations and tidiness.Supervises the maintenance and alteration of office areas and equipment, as well as layout, arrangement, and housekeeping of office facilities.Responsible for the facilities day-to-day operations (such as distributing building access keys and back-up to security access cards, mail, shipments etc.).Develops and maintains office forms and procedures and assists with administrative tasks.Answers central telephone system and directs calls accordingly.Receives the public and answers questions, in person and by telephone; responds to inquiries from employees,citizens, and others and refers, when necessary, to the appropriate person, official, or department.Assists visitors with the use of department facilities.Manage agendas/travel arrangements/appointments etc. for the upper managementArrange travel and accommodation for employees and company guests.Act as a general resource and point of contact for travel-related issues; assist employees with travel-related issues or concerns.Review and ensure all contracts for appearances include necessary specificationsCOMMUNICATION AND WORKING RELATIONSHIPSA) Internal Communication & Working RelationsB) External Communication & Working RelationsOPERATING ENVIRONMENTLab office, Dubai , UAE
