Job Description:We are looking for an HR Admin - Personal and Compenstion & Benefits administration to join our Reward Operations team at Airbus Portugal.Responsibilities - Your MissionThe Reward Operations team is responsible for processes related to personal administration, time administration and compensation and benefits administration.In this sense, your main tasks will be linked to the processes below:Public transport payment:Open the e-form and check receipts for public transportExchange with the employees if receipts are non compliant or missingOpen the e-form and check receipts for IKV (Indemnité kilométrique voiture)Answer to employees requests via ServiceNowPersonal data, Certificate management, DPAE DPAE (Déclaration Préalable à l’Embauche) and Long Service Award Management:Approve personal information changes in WorkdayEnsure the information is correctly interfaced in the HR DatabaseEdition of employer certificatesEnsure quality and robust data in G Sheet file from Google Form Long Service AwardEnsure for each Long Service Award there is a diploma or attestation from prefecture; if not, revive employees to complete their demandsArchive attestation and diploma in Drive shared with Reward operationsSend two times per year Excel file with data to allow Reward Operations calculate and integrate Long Service Award in payrollAnswer to employee requests via mailbox or ticketing toolCompany car management:Extracting eligible population every monthIntegrating amounts and car allowances in SAP for payroll purposesSupporting the payroll team on company car topicsEarly career and Temporary worker management:Integrating hired trainees in the tool (Workday and SAP) with quality approachManaging Workday administrative request rejectionsIntegrating CQPM (Certificat De Qualification Paritaire De La Métallurgie) and alternating traineesExtracting and integrating end of training periods in the toolIntegrating hirings, extensions, modifications and terminations of temporary employeesChecking and administering the interface between Workday and SAPExtracting and processing payroll data for temporary employeesSending data to all temporary employment agenciesTime and sickness leaves management:Registering temporary employee absencesCorrecting anomalies in the time management toolRegistration and filing of employee attendances and absences in SAPOvertime and work schedule recordingReceive the sick leave certificate and analyze the types of sick leave (sickness leave, maternity leave, work accident, ...)Register the sick leave certificate of employees in SAPArchive the sick leave certificates according with the define process (GDPR data)Monitoring of salary certificates, follow up and resolution of anomaliesAnswer to employees requests via ticketing toolManaging “time warnings”: extracting of SAP report and sending to temporary workers and managersAnswering to requests on ServiceNow about time warnings regularisationsUpdating work schedules according with the email requests received from EMTGAnswering to mailbox or ServiceNow requests received from temporary workers or managersMass uploading of absences on SAPRegularisation of bonuses and sending to our external provider HaysRequirements - Our Ideal Candidate Will HaveMandatory fluency in French and English,Knowledge in Workday, SAP, ServiceNow & Google Suite (preferential)Previous experience working in Human Resources (preferential)Versatility to work with different technical toolsGood communication skillsStrong organizational and time management skillsAbility to work under pressure to agreed deadlinesResults and detail-oriented, with a logical approach to completing tasksUnderstanding and demonstration of ethics and data protection/complianceCritical thinking to identify opportunities for continuous improvementDemonstrate a ‘can-do’ attitude in all areasBenefits - What’s In It For YouDiverse career opportunities within Airbus European core countries or in other regions around the world.
