Working closely with HR Business Partners and colleagues from across Asset Management and Corporate teams, you will play a key role in delivering seamless HR Administration at the heart of our end-to-end HR service to the firm.HR Administrator - LondonWe’ll trust you to: Maintain accurate and confidential HR data in PeopleSoft (e.g., joiners, leavers, changes, absence, performance).Manage employee folders for Asset Management and Corporate teams.Conduct annual screening for regulated roles, liaising with Compliance for sign-off.Administer paternity, maternity, and shared parental leave processes, including briefings, documentation, and payroll updates.Prepare letters and documentation for promotions, role changes, flexible working requests, and other employment matters requiring changes to terms and conditions.Add new joiner data to HR systems (PeopleSoft)Oversee pre-employment screening process, “Right to Work” checks, including visa administration with external vendorsDraft contractual and offer documentation for Business Partners to reviewSend offer documentation out to new hiresAct as the main point of contact for all candidates from offer to joining date to ensure a smooth and positive onboarding experienceCo-ordinate and execute induction programmes for all new joinersEnsure all joiner data and forms are completed and returnedEnsure payroll is informed of joiners promptly and maintain audit checklists in a timely mannerManage probation periods, check-ins and buddy system Completion of leaver notification forms Production of relevant leaver paperwork using in-house templates such as leaver letters and settlement agreements Update PeopleSoft and ensure payroll is informed in a timely manner Support the HR Recruitment Business Partner and HRBPs with recruitment administration Set up opportunities in the applicant tracking system (Oleeo) and ensure data is kept up to date and accurate Coordinate interview scheduling with Personal Assistants, hiring managers and other interviewers Ensure feedback is gathered and captured Support the Recruitment Business Partner and HRBPs to provide feedback calls to candidates who are unsuccessful, as appropriate Manage candidate progression for each stage in the applicant tracking system (Oleeo)You’ll need to have:Proven experience within an HR Administration role (ideally minimum 3 years)Demonstrated experience working within a fast-paced environment in financial services and/or professional servicesDemonstrated experience working effectively in an international environment is desirableNaturally thrives in a complex and dynamic environmentStrong organisational and project management skills, comfortable working with concurrent and tight HR and recruiting timelinesStrong demonstrable verbal & written communication skillsExcellent interpersonal skills with the ability to work collaboratively, engage and build relationships with key and diverse stakeholders across different teamsSelf-motivated, able to work independently and show initiative and proactivityExceptional attention to detailWorking knowledge of HR SystemsWhat We OfferWe strive to enhance the total health and well-being of our employees through comprehensive, competitive benefits.
