How You’ll Make An ImpactThe Operations Associate plays a critical role in ensuring the smooth and efficient functioning of KCRW’s daily operations. This position supports cross-departmental initiatives, manages facilities and vendor relationships, and ensures compliance with internal policies and safety standards. The Operations Associate is a key liaison between departments and external partners, contributing to a safe, organized, and mission-aligned work environment. Here’s What You’ll Do Coordinate and monitor daily operations, including resource allocation, office administration, and facility management Identify process bottlenecks and implement improvements to enhance productivity and service quality.

Oversee logistics for staff lunches, internal meetings, and offsite events. Manage KCRW vehicle use, including certification processes, maintenance, and fuel tracking Leverage AI tools and automation platforms to streamline workflows and improve data accuracy. Maintain the facility events calendar and ensure effective communication and resourcing for all events. Collaborate with IT to evaluate and implement technologies that support operational goals. Provide training and support to staff on digital tools and systems. Serve as a liaison between departments to facilitate communication and collaboration. Support and train volunteer operations staff, including reception and guest services.

Oversee guest policy to ensure a seamless experience for visitors. Coordinate with external vendors for services such as cleaning, catering, and security in collaboration with SMC. . Manage procurement, inventory, and resource allocation for office and kitchen supplies. Liaise with Santa Monica College for facility maintenance, parking, and event coordination. Conduct regular risk assessments, hazard analyses, and safety audits. Create and maintain Standard Operating Procedures (SOPs) for safe operations. Assist with emergency preparedness efforts, including drills and response planning. Ensure all facilities and equipment are well-maintained and aligned with operational needs.

Here’s What You’ll Bring 2–4 years of experience in operations, facilities management, or administrative coordination, preferably in a media, nonprofit, or creative environment. Proven track record of managing cross-functional projects and coordinating with multiple departments. Experience working with external vendors and service providers (e. g. , catering, cleaning, security). Familiarity with risk management, safety protocols, and emergency preparedness planning. Hands-on experience with office technology, digital tools, and workflow automation platforms. Background in supporting volunteer programs or guest services is a plus. Preferred Skill Strong organizational and time management skills with the ability to prioritize and multitask effectively.

Comfortable using AI tools, digital calendars, and collaboration platforms (e. g. , Google Workspace, Slack, Asana). Ability to identify inefficiencies and implement practical solutions. Excellent written and verbal communication skills; able to liaise effectively across departments and with external partners. High level of accuracy in managing logistics, inventory, and documentation. Friendly, professional demeanor with a focus on creating a welcoming environment for staff, guests, and volunteers. Comfortable working in a fast-paced, mission-driven environment with shifting priorities. Understanding of workplace safety standards, SOPs, and risk mitigation practices. What We Offer Salary Range : $33. 65 - $38.
