We are looking for a Legal Assistant who will play a key role in keeping the firm organized, compliant, and client-focused.Position OverviewThe Legal Assistant will primarily support the firm’s administrative and operational needs, ensuring smooth coordination between clients, lawyers, and external authorities. This is a client-facing and detail-oriented role that requires strong communication, time management, and organizational skills.Key ResponsibilitiesAdministrative & Office ManagementManage the firm’s filing systems — digital and physical — ensuring all client, corporate, and regulatory documents are properly categorized and accessible.Track and manage deadlines for company renewals, filings, and deliverables using the firm’s internal task system.Prepare invoices, track payments, and liaise with the accounting team for client billing.Maintain office supplies, stationery, and software subscriptions.Support HR-related tasks such as onboarding new staff, coordinating visas, and maintaining employee records.Client & Document CoordinationServe as the first point of contact for client inquiries and direct them to the relevant team members.Coordinate the collection of KYC/KYB documentation and ensure proper recordkeeping for compliance purposes.Manage signing processes (DocuSign/manual), notarizations, and attestations for client and internal documents.Liaise with government authorities, free zones, and notary offices (e.g., RAKEZ, DMCC, DIFC, ADGM) for filings and document legalization.Ensure engagement letters and client documentation are prepared and executed correctly.Legal Support (Administrative Level)Assist in formatting and compiling contracts and client deliverables prepared by lawyers.Maintain and update the firm’s precedent and template library.Assist in scheduling client meetings, preparing agendas, and taking minutes when required.Support document translation, printing, binding, and dispatch coordination.Internal Coordination & CommunicationManage the firm calendar, deadlines, and meeting schedules for partners and associates.Assist with coordination between internal departments (legal, accounts, admin).Support firm-wide initiatives, including marketing, events, and business development tasks when needed.RequirementsDiploma or Bachelor’s Degree in Business Administration, Law, or related field.Minimum 1 year experience in an administrative or assistant role (preferably in a law firm, corporate service provider, or consulting firm).Excellent English communication and writing skills (Arabic is an advantage).Proficient in Microsoft Office (Word, Excel, Outlook) and PDF tools.Strong organizational skills and attention to detail.Ability to handle confidential information with discretion.Professional, proactive, and client-service oriented.
