Please click here to apply internally.Baker's Bay Golf & Ocean Club is seeking an Administrative Assistant to join the Club Marina Department.The Marina Administration Assistant is responsible for the day-to-day operation of the office and email communications. This includes, golf cart rentals, slip reservations, Marina boat management program and daily billing.Key ResponsibilitiesPerform daily department administration such as member communications, slip reservation, Golf Cart bookings, billing, daily reports, and any other tasks as needed for the Marina.Coordinates all rental golf cart reservations, communications, and billing.Facilitates impeccable member and guest services.To Organize and Supervise the day-to-day operations of the Office and all Office Staff.Record all golf cart and Slip reservations in Jonas accurately, provide updates of all reservations as needed.Effectively answer member and guests Slip and golf cart inquiries via phone and email.Respond to emails and situations in a timely manner.Send rental contracts to members to sign and ensure that all Slips and golf carts rented have signed agreements. Greets members and Guest upon arrival if contracts require signature.Creates Slip and golf cart reports daily, providing Arrivals and Departures.Provide daily golf cart summary report for vendor’s records.Ensure that all golf carts are tagged and ready for arrivals, recording license plate/decal numbers.Provides golf cart assistant support to members. E.g., Charging Details, and swap outs.Collects all golf carts upon departure. Assists golf cart team with locating and collection of outstanding carts.Works with the Member Services and Reservations Team to ensure that all members scheduled to arrive are offered a rental cart if required.Creates Slips and golf cart forecasts for high occupancy dates.Completes all billing of Slips and golf carts rentals in a timely manner.Works with golf vendor to ensure that all billing for reservations are in accordance.To ensure that all vessels are checked in and out with the correct readings by Dock attendants upon Arrivals and Departures.Filing of all Marina and Member Documents as required.Knowledge & ExperienceStrong administrative and clerical procedures skills, including systems of processing, managing files, records, and other office procedures.Excellent critical reasoning, math, and accounting skills.Word and Excel processing and spreadsheet software.Principles and processes of customer and personal services, including quality standards of services and evaluation of customer satisfaction.Working independently with colleaguesExcellent command of the English Language, including the meaning and spelling of words, rules of composition and grammar.Strong communication skillsSelf-motivatedPositive and upbeatAbout UsDiscovery Land Company is a U.S.-based real estate developer and operator of private residential club communities and resorts with a world-renowned portfolio of domestic and international properties.
