Title: Membership AssistantDepartment: AdvancementReports To: Membership ManagerJob Type: Non-Exempt, Full-timePay: $15.87-$17.31/hour Job Summary: The San Antonio Museum of Art (SAMA) and its Advancement department seeks a self-motivated, detail- and team-oriented individual to provide essential operational/administrative support for its foundational Membership program, including database management, payment processing, production/dissemination of renewal reminder and stewardship communication, membership acknowledgements, parking validation, hands-on support for SAMA Membership events, and other assistance for SAMA’s Membership Manager. The Membership Assistant will be expected to cooperate with the Museum’s Visitor Experience department as applicable to retail/point-of-purchase membership activity as well. On occasion, the Membership Assistant may be asked to support/work other Museum events and occasionally represent the Advancement department/Museum in total at offsite functions.Responsibilities and Duties: Serve as the main point of contact for SAMA Membership inquiries (phone and email). Process payments, and produce/send SAMA Member acknowledgement letters, renewal reminders, and stewardship communication (as appropriate). Support SAMA Membership parking validation and troubleshoot specific issues where appropriate. Execute database data entry (via Altru CRM) and undertake detailed recordkeeping for Membership, and SAMA Member events registration/attendance, etc. Prepare templates, lists, and mail merges for solicitations, invitations, stewardship activities, and associated mailings. Assist with Membership data pulls and reporting to conduct analyses with Membership Manager. Provide support for SAMA Membership events in conjunction with Membership Manager. This may include compiling mailing lists, managing RSVPs (and assisting with Membership histories for events), event preparation, on-site participation, event breakdown, and Member follow-up (note: occasional evening and/or weekend hours required). Support Membership Manager in regularly reconciling secured gifts and allocations with data provided by the Museum’s Business Office (Finance) to ensure accuracy and synchronicity between departments. Work with the Membership Manager to identify and develop ways to effectively increase Museum Membership and engage with current SAMA Members regarding benefits fulfillment, expiry, promotions, new benefits, etc. Maintain Membership events/supplies inventory by checking stock, anticipating needs, placing and expediting orders, and verifying receipt of supplies. Ensure the Visitor Experience team (Admissions Desk/Museum Shop) is stocked with necessary Membership collateral/signage, etc. on a regular basis. Develop and maintain professional and technical Membership/Advancement knowledge and proficiency by attending workshops (Zoom or on-site), reviewing professional publications, and establishing personal networks with other art museum Membership/Advancement professionals. Work independently and as part of a team on ongoing and special projects and SAMA Membership campaigns. Other duties as assigned by SAMA’s Membership Manager. Qualifications: Detail-oriented, highly organized, and data-driven. Self-motivated, aptitude for problem-solving, and oriented to asking questions. Able to effectively manage time and prioritize varied projects to meet deadlines. Familiarity with basic financial recordkeeping and reconciliation. Able to work both independently and in a fast-paced team environment with multiple and shifting priorities and projects. Able to work and communicate effectively with all levels of Museum staff and, periodically, with SAMA Members, other donors, trustees, prospects, and outside partners. Excellent written and verbal communication skills. Proficient with MS Office tools, specifically Outlook, Word, Excel, PowerPoint, and Teams. CRM database experience desired (Blackbaud Altru preferred) or willingness to learn. Poised in liaising with multiple audiences, understanding of proper business etiquette. Preferred: Advanced working knowledge and application of Microsoft Office applications. Experience with Blackbaud database products or other CRM donor software. Bilingual in Spanish and English. Education and Work Experience Required: Minimum Requirements: College degree and one-to-three years of related experience Physical Requirements :The physical requirements of the position described here are representative of those that must be met by an employee to perform successfully. Walking, bending, climbing, stooping, and lifting up to 35 pounds. Must be able to sit and stand for long periods of time. Physical ability to climb stairs and work in a multi-level building.
