About Us:We are a leading real estate development company, recognized for delivering exceptional projects globally and setting new benchmarks in the industry.We are seeking a highly organized, proactive, and resourceful professional to serve as both an Office Manager and an Executive Assistant to our Chief Development Officer. This dual-role is critical to the efficiency of our development division and the overall office environment. The successful candidate will be the primary point of support for the CDO, managing a complex calendar, facilitating communication, and handling sensitive matters with discretion. Simultaneously, they will ensure the office operates smoothly, managing administrative procedures, vendor relationships, and providing a welcoming atmosphere for staff and visitors.Key Responsibilities:Executive Assistant SupportAct as the primary gatekeeper and strategic partner for the CDO, managing a complex and dynamic calendar, scheduling meetings, and anticipating scheduling conflicts.Coordinate all travel arrangements, including itineraries, visas, and accommodations for the CDO.Prepare and edit correspondence, communications, presentations, and reports on behalf of the CDO. This may include project status reports, board meeting materials, and investor updates.Serve as a liaison between the CDO and internal departments (e.g., Construction, Finance, Legal, Marketing) as well as external partners, architects, contractors, and government officials.Attend key meetings, take precise minutes, and track action items to ensure follow-through.Manage confidential information with the utmost discretion and professionalism.Handle expense reporting and budget tracking for the CDO's department.Office Management:Oversee the general office administration, including supplies inventory, equipment maintenance, and mail distribution.Manage relationships with vendors, service providers, and the landlord, ensuring all office facilities are well-maintained.Develop and implement office policies and procedures to improve efficiency and ensure a professional work environment.Coordinate internal events, meetings, and client lunches.Serve as the first point of contact for visitors, providing a welcoming and professional impression.Provide general administrative support to the team as needed, fostering a collaborative and supportive office culture.Qualifications and Skills:Essential:Bachelor's degree in business administration, Communications, or a related field.5+ years of proven experience as an Executive Assistant supporting C-level executives, preferably in real estate, construction, or a related fast-paced industry.Impeccable organizational and time-management skills, with the ability to prioritize multiple tasks seamlessly.Excellent verbal and written communication skills in English.Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).High level of professionalism, discretion, and confidentiality.Proactive problem-solver with a strong attention to detail.What We Offer:A competitive salary and benefits package.The opportunity to work closely with senior leadership on high-impact projects.A dynamic and collaborative work culture in a growing industry.Professional development and growth opportunitiesIf you have the required experience and skills, and you're ready to take on a challenging yet rewarding role, we’d love to hear from you!How to Apply:Send your resume to Talent@reportageuae.com " Office Manager Cum Executive Assistant – Real Estate."
