You can learn more at www.linkoutsourcing.com.Position Summary:The Operations Administrative Assistant provides essential administrative and operational support to the Roofing Operations department, ensuring efficient coordination, accurate documentation, and smooth communication across internal teams and external partners. This role requires strong organizational capabilities, advanced English proficiency, and the ability to analyze operational and financial data to support decision-making. The ideal candidate is proactive, detail-oriented, and comfortable managing multiple workflows in a fast-paced environment..Key Responsibilities:· Lead and coordinate meetings, project handovers, and follow-ups across teams, ensuring clear communication and timely task completion (requires high English fluency).· Communicate frequently with internal departments (estimating, purchasing, accounting, project teams) to ensure alignment and proper documentation flow.· Plan, organize, and manage documentation workflows, compiling and maintaining diverse records from various departments.· Maintain organized filing systems for project documentation, certifications, rebates, quotes, and SIM requirements.· Analyze operational and financial data to prepare reports that support budget reviews, material tracking, and overall operational performance.· Track material purchases and reconcile them against purchase orders and project budgets. · Support procurement processes, including purchase order entry, invoice review, and follow-up with vendors and partners.· Coordinate with external stakeholders for rebate programs, quote requests, and required project documentation.· Documentation & Workflow Management· Plan, organize, and manage documentation workflows, compiling and maintaining diverse records from various departments.· Maintain organized filing systems for project documentation, certifications, rebates, quotes, and SIM requirements.Qualifications:· Technical Diploma, Bachelor's Degree, or final-year student in Business Administration, Accounting, Operations Management, or a related field is preferred.· Proven experience in administrative or operations support roles, preferably in construction.· Advanced proficiency in English (spoken and written).· Proficiency in Microsoft Excel and MS Project.· Excellent organizational and planning abilities with strong attention to detail.· · Ability to work independently and collaboratively across multiple teams.· Strong communication skills with internal stakeholders and external partners.Soft Skills:· Strong analytical capacity-· Strong organizational and prioritization abilities.· Ability to work effectively under deadlines and pressure.· Proactive, self-motivated, and eager to learn.· Effective communication and teamwork skills.Join Us:Be part of a team that's redefining the commercial roofing industry through innovation and excellence.
