Job Summary: The Personal Assistant (PA) to the Director provides comprehensive support by handling meeting documentation, coordinating follow-ups, managing office operations, and assisting with both professional and personal matters. This role requires strong organizational skills, discretion, and the flexibility to provide local support, including travel and transportation-related tasks. Key Responsibilities: Meeting Coordination & Follow-Up Coordinate all logistics aspects of meetings including venue booking, equipment set up and hospitality preparation. Attending and taking accurate minutes during meetings with internal teams and external partners. Follow up on action points, assignments, and deadlines with relevant team members. Draft and send follow-up emails to ensure timely execution and clarity. Office Operations Support the Director in managing daily office administrative functions. Coordinate with office management, HR, and vendors for operational needs. Assist with document handling, procurement, and logistical arrangements. Personal Assistance & Travel Support Arrange domestic and international travel itineraries, including flights, accommodation, transportation and visa processing. Make restaurant, hotel, and event reservations for the Director and guests. Organize and coordinate hosting arrangements for international or VIP guests. Claims & Expenses Handling Prepare, track, and submit expense reports and reimbursement claims for the Director. Ensure supporting documentation is complete and in line with company policy. Monitor and follow up on approvals and payment status with Finance. Communication & Documentation Draft and manage correspondence on behalf of the Director. Maintain proper filing and document management for both business and personal matters. Handle confidential documents and conversations with professionalism. What we're looking for: Education & Experience: Bachelor’s degree or equivalent preferred. 3+ years of experience as a PA, Executive Assistant, or in a similar administrative support role. Experience supporting senior management in a fast-paced environment. Excellent communication and interpersonal skills. Strong organizational, planning, and multitasking abilities. Proficiency in Microsoft Office Suite and office productivity tools. Culturally aware and polished, especially when coordinating with international contacts. Additional Requirements: A valid driver’s license and access to own vehicle is required. Willingness to travel locally for errands, pickups, and guest arrangements.
