Job Description

Role PurposeProvide high-level administrative and operational support to senior executives and their teams within the Momentum Investments IT division. This role ensures efficient scheduling, communication, and coordination, enabling leaders to focus on strategic priorities. Responsibilities include managing sensitive information, optimizing workflows, and acting as a trusted liaison between executives and stakeholders.RequirementsQualifications & ExperienceEducation: Bachelor’s degree in Business Administration, Management, or related field (or equivalent experience).Experience: 5–7 years as a PA in IT or financial services, supporting EXCO and MANCO leaders simultaneously.Duties and ResponsibilitiesDiary Management & LogisticsSchedule and manage meetings, workshops, and recurring sessions, ensuring venue availability and virtual links are set up.Resolve diary conflicts in collaboration with other PAs.Arrange special events, offsite sessions, and catering as required.Maintain and update the corporate calendar for Momentum Investments.Allocate preparation time for meetings within the calendar.Administrative SupportPrepare and edit correspondence, presentations, and reports.Handle confidential information with discretion.Manage corporate credit card transactions and ensure 100% compliance with reconciliation policies.Process invoices and contractor payments via JDE, ensuring timely approvals.Track software licensing renewals and recurring payments.Monitor and report on team budgets, including discretionary spend for events and training.Meeting CoordinationPrepare agendas, take minutes, and follow up on action items.Ensure all materials are distributed in advance and channels (e.g., Teams sites) are set up for collaboration.Communication ManagementAct as the primary point of contact for internal and external stakeholders.Screen and prioritize emails and calls, ensuring timely responses.Build strong relationships and maintain professionalism across all interactions.Presentation Development And ManagementCreate and enhance presentations aligned with company branding.Ensure accuracy, visual appeal, and readiness for leadership meetings and conferences.Project ManagementAssist with planning and execution of special projects.Track progress and ensure timely delivery of tasks.Board & Manco PreparationsMonitor receipt of meeting packs and agendas.Prepare and print documents as required.Ensure all action items and materials are ready ahead of meetings.Travel & Event PlanningArrange complex travel itineraries, accommodation, and visas.Organize team events, celebrations, and functional gatherings.Office & Team SupportOversee office supplies and equipment maintenance.Ensure smooth onboarding for new team members, including system access and workspace setup.As an applicant, please verify the legitimacy of this job advert on our company career page.-289468633
