Your new CompanyAn innovation-driven international group is looking for a Personal Assistant/ EA to support CEO and 3 Directors,. Based in Cascais office, this is a key role for someone who thrives in a fast-paced, and has a proven track record of managing complex schedules, communications, and tasks with discretion and precision. The successful candidate will act as a trusted right-hand to CEO and Operations director ensuring their day-to-day activities run smoothly while handling a wide range of administrative, logistical, and personal support duties.Your new rolePlan and support the execution of events, meetings, and conferences.Prepare reports, presentations, briefings, and correspondence with high accuracy and professionalism.Organise and coordinate travel arrangements (flights, accommodations, itineraries, visas, etc.) both regionally and internationally.Serve as the primary point of contact for all calls, emails, and messages on behalf, ensuring timely and appropriate responses.Manage complex calendars and schedules, including internal and external meetings, appointments, and personal engagements.Maintain and organise digital and physical filing systems and internal databases.Monitor deadlines, follow up on outstanding tasks, and keep the executive informed of all critical issues.Act as a liaison with internal teams, clients, and external partners.Manage and process business and personal expenses efficiently.Provide general personal support, including errands, bookings, and lifestyle management as needed.Plan, organise, and execute regular virtual and in-person team events (e.g., team-building activities, quarterly gatherings, holiday parties).Work with local vendors and venues across UAE and Europe and UK for event logistics.Develop and manage event budgets, timelines, and feedback surveys.What you need to be successfulProven experience as a Personal Assistant, Executive Assistant, or similar administrative role, preferably supporting senior executives.Excellent communication skills in English (spoken and written) and high-level attention to detail.Strong experience with diary and calendar management, travel planning, and event coordination.Outstanding organisational and multitasking abilities.High level of discretion, integrity, and confidentiality.Ability to anticipate needs, think proactively, and take initiative.Tech-savvy with proficiency in Microsoft Office (Word, Excel, PowerPoint) and collaboration tools (e.g., Google Workspace, Zoom).Confident, composed, and able to perform under pressure with competing deadlines.Flexibility to work occasional irregular hours and travel when required.What the company can offer youHybrid working modelAnnual bonus, meal allowance, health insuranceOpportunity to travelEnjoy stability and resources provided by a well-established, fast growing multinational company.
