Job Purpose: The Guest Experience Administrative & Retail Manager manages the administrative work required to keep Guest Experience & Heinz Hall Presents productions and projects on track, as well as managing retail operations for the Pittsburgh Symphony as well as all presentations at Heinz Hall. Essential Duties and Responsibilities:

Administrative ManagementReconciles, verifies, and codes Guest Experience invoices for approvalIssues contracts and Invoices for Heinz Hall rentalsHandles mail receipt, delivery, and shipping for departmentProcesses lost & found articles from performances on a weekly basisFields inquiries related to the availability of Heinz Hall for reception and photo shoot rentalsCompletes Heinz Hall space reservations for other departments in the hall scheduling softwareResponsible for obtaining front of house/rehearsal room set up needs from internal PSO Departments for various scheduled activitiesCompletes and Distributes event/performance documents to appropriate personnel and catering staffAssists VP in tracking maintaining and forecasting Guest Experience revenue and expense budgetAssists in financial settlements for performances at Heinz HallWorks at events as requiredBacks up Senior Manager of Guest Experience on Heinz Hall scheduling processBacks up VP & Senior Manager of Guest Experience & Heinz Hall Presents as neededRetail ManagementManage PSO/ Heinz Hall retail sales including onsite, online, phone orders and off-site sales locations, including merchandise budgeting and forecastingSupervise, hire, direct work, schedule, process payroll and oversee the necessary training/development of Merchandise Sales StaffNegotiate commission rates of merchandise with artists, management companies, record labels, touring shows, etcManage acquisition of guest artist, PSO musicians and conductor merchandise on consignment basis for sale; research and procure new items to be added to sales inventoryManage inventory control, ordering distribution, concert sales settlements and return of merchandise in conjunction with the Finance DepartmentCoordinate with Artistic Department to arrange for artist signings at concertsHandles online merchandise fulfillmentRequired Education and Experience:

Bachelor’s degree or equivalent work experience required2 years related work experienceExtensive computer skills using Microsoft 365 requiredExcellent written, and verbal communication capabilities, including clear and concise writing skillsHighly organized with excellent attention to detailsDemonstrated ability to work independently but also as a member of a teamDemonstrated ability to meet deadlines and perform well under pressureDemonstrated ability and willingness to work irregular hours, including evenings and/or weekends when necessaryPreferred Education and Experience: Degree in business or non-profit administrationSupervisory ExperienceRetail sales experience preferredPrevious work in a nonprofit settingPrevious work in a live music or theater settingPhysical Requirements:

Ability to work on a computer for extended periods of timeAbility to operate related equipment, i. e. computer, copier, scannerAbility to take items to Post Office, UPS store, FedEx drop off locations etcCompensation and Location: This is a full-time position with an annual salary range between $45,000 - $50,000 depending upon experience. We also offer a comprehensive benefits package which includes paid holidays, paid time off, employer paid health benefits, as well as retirement savings options with an employer match. Heinz Hall in downtown Pittsburgh is the work location for this position.

The PSO supports a flexible, hybrid work environment, including both in-person and remote work. This position does include working on weekends and evenings during PSO concerts or events.
