Project Fulfillment CoordinatorLocation: Minnesota (in-state candidates only)Schedule: Hybrid — two to three days per week in our Minnetonka studio and two to three days working from homeOverviewO’Hara Interiors is seeking a full-time Project Fulfillment Coordinator to support our luxury residential design team by managing the critical stage between order placement and final delivery. This is a logistics-focused role ideal for someone who thrives on organization, communication, and problem-solving behind the scenes.Our designers stay closely engaged with every project from concept to completion. Your job is to make that possible by tracking furniture and décor orders, troubleshooting issues with vendors and warehouses, monitoring costs, and ensuring every delivery happens smoothly and profitably.What You’ll DoTrack and manage active orders from the moment of placement through successful in-home delivery.Monitor lead times, shipping updates, and warehouse activity to anticipate delays and coordinate resolutions.Partner with designers to provide timely updates, escalate issues, and coordinate next steps when vendor or warehouse problems arise.Liaise with vendors, warehouses, and receivers to handle damage claims, repairs, exchanges, and returns.Monitor warehouse storage timelines and costs, flagging fluctuations or inefficiencies to the Accounts Manager.Coordinate with accounting and operations to ensure billing, collections, and deliveries stay aligned.Advocate for clients in resolving product issues while maintaining positive vendor relationships and protecting project margins.Maintain accurate records for claims, credits, replacements, and returns.Who You AreExceptionally organized, detail-driven, and comfortable juggling multiple projects at once.A clear and proactive communicator who follows through consistently.Skilled at navigating challenges with diplomacy and sound judgment.Adept at learning software systems and maintaining meticulous records.Energized by supporting a creative team and ensuring operational excellence.Qualifications3–5 years of relevant experience in furniture logistics, order management, or interior design operations.Strong written and verbal communication skills.Experience coordinating with multiple departments or vendors simultaneously.Proficiency with order tracking systems or project management tools.Background in interior design, furnishings, or home goods preferred.Why Join O’Hara InteriorsYou’ll be part of a nationally recognized design firm where collaboration and precision are at the heart of our work.
