Job Description

Job PurposeTo provide full supervision over the procurement of spare parts, materials, and services related to the fleet across all branches, ensuring the availability of operational needs with high quality, on time, and at the best prices. This includes managing purchasing representatives in all regions and developing supply chain performance in line with the company’s policies and objectives.3. Duties and ResponsibilitiesManagement & PlanningDevelop and prepare annual purchasing plans related to all fleet needs.Assign tasks to purchasing representatives in all regions and monitor their compliance with roles and procedures.Supervise and evaluate the performance of purchasing representatives periodically.Procurement OperationsApply effective strategies to procure spare parts and materials at competitive prices and required quality.Build and maintain an updated database of approved suppliers across all regions.Execute both local and international purchasing operations, whether in-person or online.Negotiate with suppliers to obtain the best commercial terms.Review and verify purchase order requests (POs) for accuracy and approve them.Follow up with suppliers on spare parts orders until delivery.Review existing contracts, ensure compliance with terms, and renew them on time.Coordination & Follow-upMaintain continuous communication with warehouses to monitor inventory levels and spare parts turnover.Coordinate with maintenance workshops to ensure timely availability of materials without operational interruptions.Review and analyze quotations financially and technically, and provide recommendations for approval or rejection.Monitor periodic changes in spare parts prices and prepare comparison reports.Records & ReportsMaintain well-organized records of purchase orders, quotations, and invoices.Prepare periodic purchasing reports and submit them to the Fleet Executive Director.Participate in preparing the annual purchasing budget for the fleet.Additional TasksContribute to establishing and developing purchasing policies and procedures.Perform any other related duties assigned by the Fleet Executive Director.4. Working ConditionsPrimarily office-based work with field visits to suppliers and branches as needed.Requires constant coordination with workshops, warehouses, and spare parts suppliers.Includes international and online purchasing.5. Communication & Work RelationshipsMaintains effective working relationships with:Workshops & Maintenance DepartmentWarehousing DepartmentFinance DepartmentPurchasing Representatives in all regionsExternal suppliers6. Organizational StructureFleet Executive Director ↳ Purchasing Supervisor ↳ Purchasing Representatives (Central – Eastern – Western – Southern – Northern Regions)7. Academic QualificationsBachelor’s or Diploma in Mechanical Engineering, Supply Chain Management, Business Administration, or a related field.8. Knowledge & SkillsAdvanced negotiation skills.Strong knowledge of contract drafting and commercial correspondence.High organizational skills and ability to manage a geographically distributed team.Ability to analyze data and make appropriate decisions.Good knowledge of spare parts for light and heavy vehicles.Proficiency in computer skills and ERP systems.Fluency in Arabic and English (spoken and written).9. Experience5–7 years of experience in purchasing, preferably in fleet or automotive sectors.Experience in managing multi-site teams.10. General CompetenciesAbility to work under pressure.Good physical fitness and a medical record free of chronic illnesses.Strong communication, leadership, and problem-solving skills.
