RESPONSIBILITIES AND QUALIFICATIONSRole overview We are looking for a full-time administrative professional that has a solid administrative background, ideally with previous experience in a professional services environment. Reporting directly to the Director of Operations this individual will have a variety of responsibilities, including greeting clients, answering calls, daily deposit recording, client onboarding and correspondence and billing preparation.   Attention to detail is key in this role to ensure exceptional delivery of services. Your positive, friendly, and mature disposition will be key to our team.Performance ExpectationsOrganizational Responsibilities·        Assist with billing preparation and aged receivable collections;·        Database maintenance of client and jobs on iFirm·        Provide admin support to partners and staff accountants;·        Manage incoming / outgoing communication as well as calendar management and meeting coordination;·        Act as gatekeeper for all external contacts;·        Office coordination, i.e, reception, kitchen housekeeping, couriers;·        Assist other members of the administrative team, as necessary;·        Create time efficiencies and manage multiple deadlines;·        Contribute to our positive team dynamic with all levels of staff and management; and·        Public and client folder maintenance.Credentials·        Must have excellent organizational skills and utmost attention to detail;·        Ability to manage multiple priorities while paying utmost attention to detail;·        Completion of post-secondary education in administration is an asset;·        Basic accounting background;·        Ability to work well under pressure to meet tight deadlines;·        Proven prioritization, time management and project management skills;·        Ability to liaise with external parties – clients and suppliers;·        Excellent interpersonal and client service skills, strong initiative, and ability to work independently as well as in a team environment;·        Advanced technical skills including Microsoft Excel, Word;·        Excellent communication skills with a very strong command of the English language (written & spoken);·        Ability to work overtime when necessary and flexibility to work with changing priorities;·        Experience in an accounting firm an asset;Salary/Compensation Expectations·        Salary: $45,000 - $47,500·        We offer a uniquely comprehensive compensation package which sets us apart from our competition.
