Job Description

Job Purpose: To provide comprehensive administrative and executive support by managing schedules, coordinating meetings and travel, handling communications, organizing events, maintaining records and databases, and ensuring the effective implementation of management decisions. The role also involves preparing reports, drafting correspondence, and supporting cross-departmental coordination to enhance organizational efficiency. Key Responsibilities:•Maintain company schedules and calendars and follow up on their implementation.•Arrange and prepare the manager’s work schedule.•Organize and confirm appointments, meetings, and interviews.•Welcoming guests and manage the meeting schedule.•Organizing the meeting rooms before the meetings.•Attend meetings and prepare summary reports of discussions and decisions made.•Organize internal and external company events.•Arrange and confirm travel bookings.•Prepare travel expense reports and invoices.•Receive and make phone calls, and handle emails, mail, and other correspondence.•Develop and modify document management systems, work procedures, and organize files, documents, and records.•Create filing systems, both manual and electronic.•Organize and archive administrative files, documents, and records.•Gather information, conduct research, and prepare summaries on specific topics.•Maintain company databases.•Handle internal and external communications.•Coordinate with various company departments.•Ensure that management decisions are properly implemented.•Maintain company schedules and calendars and follow up on their implementation.•Ensure that management decisions are properly implemented.•Prepare and submit periodic progress reports.•Follow up on the implementation status of management decisions.•Draft official correspondence and administrative texts for various entities.•Prepare expense and revenue reports.•Provide general supervision of all company departments as assigned by management.•Carry out any other tasks assigned by management.•Create designs using computer software.•Efficiently use computer software (Microsoft Office / Google Workspace).•Perform any other duties and responsibilities as assigned by the line manager or senior management.Qualifications: Bachelor’s in Business AdministrationExperience: Minimum of five years of experience in secretarial or office administration.Skills: •Strong communication, organization, and follow-up skills.•Proficient in computer use and Microsoft Office programs and Google Workspace.•Professional appearance, courtesy, and ability to work as part of a team.Fluent in Arabic and English.Location : Hawally.Salary : 350-450 depending on experience.Full-time JobYou should have Transferable visa
