It's fun to work in a company where people truly BELIEVE in what they're doing!The role of a secretary is to effectively and efficiently manage the administrative and correspondence tasks of the Directors they report to, their role is to alleviate the administrative burden on Directors and their team/s so they can contribute more meaningfully to the strategic and tactical deliverables that they face on a daily basis.Co-ordination of meetings, conferences and diaries including pre-meeting pack preparation and other arrangements Prepare Presentations or reports for Team membersTyping of minutes / correspondenceFilingDomestic & international travel arrangements Conference and seminar arrangements and co-ordination Preparation of presentations, spreadsheets, letters, etcDiary management and scheduling of appointments Screening calls and message taking Sorting and screening of mail and other correspondence Control and manage stationery and catering requirementsAssist Function with any facilities related matters, including maintenance, contracts, running of the officeExpense Claims and generating of purchase ordersProcessing and reporting on all costs against department budget & expensesCellular Phone administration Customer requests resolvedAd hoc admin tasksKey attributes and competenciesAdministrative aptitude – the ability efficiently and effectively manage the administrative tasks to ease the burden on the lawyers.Agility – ability manage multiple tasks and in line with the ever-changing priorities of the lawyers.Communication - Outstanding communication, interpersonal and negotiation abilities across all levelsProblem Solver – the ability to resolve administrative challenges on behalf of the lawyers.Confidentiality – the ability to ensure the highest level of confidentiality and integrityWhat You Will Be Measured OnAccuracy and quality of administrative tasksPro-activity of services provided to ExecutivesContinuous improvement identification and implementationAreas agreed as part of the annual IPA processEssential Skills & QualificationsNQF Level 4, preferably with secretarial certificationAdvanced level proficiency in MS Office SuiteSpeed typing at a minimum of 75 words a minuteExcellent grammatical and editing capabilityPrevious secretarial experience – minimum 3-5 yearsSkilled at managing competing priorities under pressure. Skilled at developing and managing multiple. Stakeholders and their demand In-depth knowledge of office management and basic accounting procedures as well as technical vocabulary of FMCG industryIn accordance with the employment equity plan of Tiger Brands and its employment equity goals and targets, preference may be given, but is not limited, to candidates from under-represented designated groups.
