BASF employed 110 people in Vietnam as of the year end.Further information on BASF in Vietnam is available at www.basf.com/vn.OBJECTIVES OF THE POSITIONManage all end-to-end Supply Chain related activities for ECT Coatings business to effectively support business requirements. Manage all customer services related to order to cash activities for Merchandise products. Ensure right time, right part, right place, right quantity by closely collaborating with Sales team for sales forecast, effective management of inventory and minimizing logistics cost while satisfying customer requirements. Main Areas Of Responsibilities And Key ActivitiesOrder to cash activities:Perform Sales and Delivery Order Management tasks including sales order creation, processing changes and returns, following-up on blocked orders, Letter of Credit handling, shipping and delivery tracking including following-up on shipping documents and dispatch to customers if required, coordinate with Logistics and / or 3rd party Logistics service providers on delivery arrangements to customers and communication with customers on all order management related matters. Placing and following up on orders for merchandise products. Contribute to development of customer relationships through proactive customer communication related to order management e.g. product availability, order status and delivery trackingSupport Credit Management on billing and Accounts Receivable management such as monthly closing and billing correction, handling invoice discrepancies, monitoring customer payment schedule and following up on overdue payment with customers or Salespersons, processing credit/debit notes and rebates, etc. Set up and maintain material master and / or article extension in SAP, raise request for maintenance of ship-to-party and bank code in SAP customer master data. Handle customer complaints via Non-conformance Management (NCM) system. Actively communicate status, investigation results, corrective actions to customers and ensure on time closure for non-product quality related complaints. Capture customer expectations / requirement and feedback to BU / Functions. Support implementation of business rules related to customer order management process. Provide order status reports and monitor customers’ order placement against sales forecast and communicate with Salespersons if orders are not within forecasts. Capture market intelligence from daily interaction with customers and share with the business as appropriate. Work with various stakeholders to clear any system order blocks due to license, credit or any other issues. Demand and supply planning:Collect, challenge and consolidate forecasts from customers and sales, understand the drivers behind forecast changes. Plan and purchase finished goods to meet forecasts and customer orders, working closely with supplying plants to ensure delivery requirements are met with OTIF. Drive inventory planning enhancement to minimize operational constraints such as airfreight and expediting cost for finished products. Create and transmit purchase orders to BASF affiliates and 3rd party suppliers in a timely and accurate manner; ensure correct data entry. Monitor product availability, proactively work on contingency plans and alert supervisor in case of shortage or bottlenecks. Ensure up to date information of stock availability and delivery status of finished goods and sample materials in SAP system. Work with various stakeholders to clear any system order blocks due to license, credit or any other issues. Inventory management: Monitor and analyze materials movement, propose quarterly slow moving, obsolete and blocked materials and work with sales to reduce write-off. Propose stocking plan strategy and collaborate with various stakeholders to improve inventory levels. Ensure goods are transacted based on FEFO basis, and optimize ordering lot sizes and replenishment frequency to minimize operations cost. Master data maintenance:Set up and maintain material master codes in SAP system. Regularly review and ensure correctness of master data. Set up vendor codes in SAP as and when required. Logistics operation:Coordinate material and license registrations as required by Vietnam regulations through close collaborations with various stakeholders. Interact with suppliers (both BASF affiliates and 3rd party vendors) to track shipments and deliveries to ensure timely stock availability of the finished products and the material samples to meet the customers’ production schedules. Ensure the correct shipping documents to facilitate the fastest customs declaration. Monitor closely the clearance of the shipments to ensure the minimum cost incurrence and the clearance within the agreed lead-time. Coordinate with supply chain/logistics service provider for import shipment clearance. Perform goods receipt and other relevant transactions in the system; ensure timely and accurate input. Prepare and assist in periodic and annual physical inventory / stock audit. Liaise and work closely with related functions, relevant Safety authorities and standards to ensure the material and product management procedures / practices fully meet the relevant legal requirements. Create, coordinate and close non-conformance requests in SAP for any issues relating to quality, delivery or similar issues arisen from the delivery within stipulated time frame. Ensure payment to suppliers done on a timely basis. Other assignments:Prepare relevant reports such as inventory forecast projection, quarterly SLOB and write off proposal report. Perform other duties as assigned. Participate in yearly stock take. Job RequirementsDegree, preferably in Business Administration or SCM / LogisticsMin 5-years’ experience in supply chain planning or inventory managementKnowledge of trading processes, material and inventory planning and management. Understanding of operation or purchasing process is advantage; Knowledge of ERP – MRP module is preferred. Good command of English and Computer skills (MS. Office).
