You get to do it all remotely, supporting a high-performing team that values your communication skills and attention to detail.What Your Days Might Look Like:Provide comprehensive administrative and coordination support to ensure smooth daily operations for the team.Conduct welcome calls with new clients using prepared scripts, ensuring all required details are captured and documented accurately in Salesforce.Send documents to clients for review and signature, track completion status, and follow up as needed to ensure timely submission.Maintain and update client records and task logs in Salesforce, ensuring all information is current, complete, and compliant with internal guidelines.Assist with formatting client documents, organizing digital files, and maintaining clear naming and folder structures across shared drives.Track ongoing client processes, flag incomplete or delayed documentation, and communicate status updates to team members via Slack or email.Schedule follow-up appointments, reminders, or check-in calls, and coordinate communication between clients and internal departments.Perform light data entry and maintain accuracy in digital documentation to support reporting and audit readiness.Participate in weekly team meetings via Zoom, share progress updates, and raise any issues or bottlenecks encountered in client processes.Support other administrative functions as assigned, ensuring flexibility in assisting with new projects or workflow adjustments.Write and send newsletters featuring listings, updates, and team newsCollaborate with agents to keep marketing aligned with their brand and goalsKeep websites and online listings up to dateWho We Think Will Thrive in This Role:You have experience in administrative support, client onboarding, or customer serviceYou’re bilingual (English and Spanish) and communicate clearly and professionally in both languagesYou’re confident using CRMs (like Salesforce), spreadsheets, and other cloud-based toolsYou’re highly organized and can keep track of multiple clients, tasks, and deadlines with easeYou’re detail-oriented and take pride in maintaining accuracy and consistency in documentationYou’re proactive, resourceful, and comfortable following up to keep processes on scheduleYou’re self-managed, reliable, and thrive in a remote work environmentYou’re a team player who values clear communication and keeping operations running smoothlyYou are willing to work in a US time zone schedule.You can secure the required technical setup, including:At least a 720p HD webcamA noise-canceling headsetA primary internet connection of at least 25 MbpsA backup laptop, backup internet device, and backup power sourceA main computer with at least Intel Core i5 (or equivalent) and 8 GB RAMA backup computer with at least Intel Core i3 and 4 GB RAMWhy ClearDesk?Because we believe work should be meaningful, even from home.At ClearDesk, you’ll work with clients who respect your time and value your skills.
