Role DescriptionThe HR Specialist is responsible for supporting the implementation, monitoring, and continuous improvement of HR and training operational processes. This role ensures accuracy, compliance, and efficiency across HR workflows, audits, trainee documentation, reporting, and quality initiatives. The HR Operations Excellence Executive acts as a key link between HR, Operations, and Business Development to ensure smooth coordination and consistent standards across all initiatives.Key Responsibilities 1. Process Compliance & DocumentationMonitor and ensure adherence to HR and training workflows by relevant departments (TA, BD, Operations, and Sales).Conduct routine audits on trainee files, course documentation, and HR records for accuracy and completeness.Maintain up-to-date documentation of all HR and training procedures, ensuring version control and accessibility.Assist in preparing audit reports, highlighting findings, and following up on corrective actions.2. Training & Program Quality MonitoringTrack and verify the accuracy of attendance sheets, trainer performance evaluations, and trainee feedback forms.Support the preparation and consolidation of training performance reports.Assist in coordinating surveys and satisfaction assessments to measure trainee and trainer experience.Follow up with coordinators to ensure all required evaluation forms and files are submitted on time.3. Data Management & ReportingMaintain HR and training data in Excel sheets or HR systems with high accuracy.Generate weekly and monthly performance reports for review by the HR Operations Excellence Manager.Support the creation of dashboards summarizing key operational metrics and compliance results.4. Continuous Improvement InitiativesParticipate in the design and rollout of process improvement projects (e.g., scoring systems, new forms, digital tools).Collect feedback from stakeholders to identify areas of inefficiency or process bottlenecks.Support documentation and tracking of process enhancement initiatives led by the Excellence team.5. Coordination & SupportCoordinate with Talent Acquisition, Operations, and Training departments to ensure unified reporting and consistent process application.Provide administrative support for HR and training audits, workshops, and policy rollouts.Assist in scheduling meetings, preparing materials, and summarizing outcomes for follow-up actions.QualificationsEducation: Bachelor’s degree in Business Administration, Human Resources, or related field.Experience: Entry levelEnglish Fluency is a must.B2 English level is preferred.Skills: Technical Skills: Proficiency in Excel, PowerPoint, HRIS systems, and process documentation tools.Soft Skills: Attention to detail, analytical mindset, organization, communication, and teamwork.CompetenciesAccuracy and accountabilityProcess-oriented thinkingData organization and reportingContinuous improvement mindsetCollaboration and adaptabilityWorking Conditions- On-Site- Working hours: 9:5 - { Working conditions may vary based on business needs}
