Job Description

Key ResponsibilitiesAdministrative SupportManage executive calendars, appointments, and travel arrangements (flights, hotels, ground transport).Handle correspondence, calls, and emails promptly and professionally.Prepare reports, presentations, and briefing materials.Maintain accurate databases of clients, models, castings/bookings, and contacts.Talent & Client CoordinationServe as a point of contact between models, clients, and management.Schedule model castings, fittings, photo shoots, and agency meetings.Ensure models have all necessary information (call sheets, wardrobe notes, travel details).Assist with contract preparation and follow-up documentation.Event & Production SupportCoordinate logistics such as catering, transport, wardrobe and H&M for events. Liaise with photographers, stylists, designers, and PR teams.Office & Operations ManagementMonitor office supplies, media filing, and basic bookkeeping tasks.Assist with social media or marketing coordination (posting, event updates, etc.).Maintain confidentiality regarding agency and client information. Skills & Qualifications2–3 years of experience as a personal assistant, executive assistant, or coordinator (preferably in fashion, entertainment, or creative industries).Excellent organizational and multitasking abilities.Strong communication and interpersonal skills.Discretion, professionalism, and the ability to handle sensitive information.Tech-savvy: proficient with Adobe Suite (Photoshop, InDesign), Canva , Microsoft Office, Excel and scheduling platforms including Teams - familiarity with CRM and social media platforms is a plus.Flexibility to work irregular hours, travel, or attend events when required. Personal AttributesHighly organized, proactive, and detail oriented.Calm under pressure and adaptable to changing priorities.Professional appearance and demeanour suitable for fashion environments.Team-oriented with a positive, service-minded attitude.
