Transport and Business Support OfficerJob Summary:The Transport Administrator will support the Transport Manager in the day-to-day operations of the transport department, ensuring efficient scheduling, coordination, and compliance with all relevant policies and procedures. This role involves handling administrative tasks, maintaining accurate records, and liaising with drivers, parents, and external stakeholders to facilitate smooth transport operations.Key Responsibilities:Assist the Transport Manager in planning and coordinating transport schedules for students and staff.Maintain accurate records of vehicle maintenance, inspections, and insurance to ensure compliance with regulations.Liaise with drivers, parents, and staff to address transport-related queries and concerns.Process transport-related documentation, including route planning, driver schedules, and expense tracking.Monitor vehicle tracking systems and report any issues or delays to the Transport Manager.Ensure all transport policies and procedures are followed, including safeguarding and health & safety requirements.Assist in handling incidents, accidents, and breakdowns by coordinating responses and keeping detailed records.Support the recruitment, training, and compliance of drivers and transport staff as required.Maintain a database of transport users, ensuring up-to-date contact details and requirements.Assist in preparing reports and data analysis for transport operations.Assist with financial and accounting tasks, including, monitoring and recording transport expenses, fuel usage, and driver payments. Preparing purchase orders, processing invoices, and ensuring timely submission for payment. Reconciling transport-related costs and maintaining accurate financial records.Assisting in preparing monthly transport budget reports and cost analyses.Person Specification:Essential:Previous experience in an administrative role, preferably within transport or logistics.Strong organizational and time-management skills.Excellent communication and interpersonal skills.Proficiency in Microsoft Office (Excel, Word, Outlook) and transport management software.Ability to multitask and work efficiently under pressure.Knowledge of transport regulations and compliance requirements.Desirable:Experience in a school or education setting.Knowledge of vehicle maintenance processes and transport policies.Understanding of safeguarding requirements related to student transport.Location: Plumstead Reports To: Transport Manager Contract Type: Fulltime (Onsite)
