We are looking for a proactive, detail-oriented Virtual Administrative Assistant to support the company owner and oversee operational and administrative workflows across our YouTube business. You’ll work closely with our creative team, manage production operations, and serve as the central coordinator across people, platforms, tools, and deliverables. Key Responsibilities: Production & Team CoordinationRun daily stand-up meetings with editors and producers, track deliverables, document blockers, follow up. Attend all internal production calls to ensure task ownership, delivery timelines, and accountability. Maintain and enforce the production schedule and publishing calendar (YouTube, and all social media channels). Talent & Workflow ManagementPost and manage freelance job listings across platforms (e. g. , Fiverr, Upwork). Source, vet, and onboard scriptwriters, voice-over artists, editors, and other team members.
Create and manage Notion access, VPN clients, contracts, onboarding docs, and task assignments. Track contract terms, follow up on missed deadlines, and issue reminders to creatives. Admin & Executive SupportManage the owner’s email inbox, calendar, travel bookings, meeting prep, and file organization. Triage incoming requests and administrative questions from team members. Own communications with vendors, partners, and our accountant. Finance & InvoicingReview and validate incoming invoices from freelancers and sponsors. Retrieve missing invoices, send invoice instructions, and ensure timely delivery. Handle sponsor deliverables: invoice clients, track deadlines, follow up on completion.
Process freelancer payments and maintain financial logs (PayPal, QuickBooks, Payoneer, etc. ). Prepare basic monthly financial summaries and ensure everything is accountant-ready. Platform, File & Access ManagementMaintain and organize assets across Dropbox, Notion, Google Drive, YouTube Studio, and stock libraries. Add/remove user access, manage version control, and ensure everything is structured and accessible. Assist with setting up and maintaining tools like VPN clients, Slack, Fiverr, and internal systems. Social Media Support & ExpansionSupport the team in launching and maintaining TikTok, Instagram, and X (Twitter) accounts. Monitor social platforms and YouTube comments; flag key issues or trends for action.
The Ideal CandidateExceptionally organized and proactive with strong time managementFluent in English with excellent written and verbal communication skills. German is a plus.
