Beacon Hill is hiring! We have partnered with a financial services company in downtown Chicago in hiring an Administrative Assistant to start immediately. Our client is seeking an organized and proactive Administrative Assistant to support their team with expense management, travel coordination, and a variety of ad hoc administrative projects. This role is ideal for someone who enjoys multitasking, thrives in a fast-paced environment, and takes pride in providing exceptional support and organization.Key Responsibilities:Manage and process expense reports and reimbursements accurately and timely.Coordinate domestic and international travel arrangements, including flights, hotels, transportation, and itineraries.Maintain and track travel budgets and ensure compliance with company policies.Assist with scheduling meetings, preparing agendas, and managing calendars as needed.Support ad hoc administrative projects and initiatives across departments.Create and maintain organized records, documents, and spreadsheets.Communicate effectively with internal stakeholders and external vendors to ensure seamless operations.Qualifications:2+ years of experience in an administrative or office support role (experience handling expenses or travel preferred).Bachelor's Degree is required.Strong organizational skills with keen attention to detail.Proficiency with Microsoft Office Suite or Google Workspace; experience with expense management systems (e.g., Concur, Expensify) a plus.Excellent written and verbal communication skills.Ability to handle sensitive information with discretion.Self-starter with strong time management and problem-solving skills.
