Job Description

The Administrative Assistant will serve as a key right hand to leadership — managing high-volume communications, coordinating projects, and ensuring operational tasks are executed seamlessly. This person must be sharp, structured, and calm under pressure, with a deep sense of ownership and the ability to anticipate needs before they arise.⸻Key Responsibilities    •    Manage executive schedules, meetings, and follow-ups with impeccable organization and timeliness.    •    Create and maintain digital systems (Google Drive, Sheets, Docs, Forms, Trello, etc.) for tracking projects, SOPs, and team tasks.    •    Handle confidential information with discretion and professionalism.    •    Prepare reports, summaries, and presentations for leadership and cross-functional teams.    •    Communicate clearly and effectively with internal departments and external partners.    •    Monitor task lists and deadlines — ensuring nothing “falls through the cracks.”    •    Support credentialing, onboarding, vendor management, and documentation workflows.    •    Identify inefficiencies and suggest process improvements to enhance productivity.    •    Occasionally assist with event coordination, meeting logistics, or executive travel planning.⸻Ideal Candidate    •    Detail-oriented to the extreme — you notice inconsistencies others miss.    •    Highly organized, with a proven ability to manage multiple priorities simultaneously.    •    Strong written and verbal communication skills.    •    Proficient in Google Suite and project management tools (e.g., Trello, ClickUp, Asana, or similar).    •    Able to work independently with minimal supervision, yet collaborate fluidly within a remote team.    •    Confident, professional, and composed — even when handling complex or time-sensitive issues.    •    A natural problem-solver who thrives in a fast-paced, growing organization.⸻Qualifications    •    3+ years of experience in administrative, executive support, or operations roles.    •    Experience in healthcare, dental, or multi-location business management is a plus.    •    Strong grasp of digital communication tools (Slack, Zoom, etc.). •  Exceptional time-management, follow-through, and documentation skills.
