Job Description

Duties and Responsibilities:A. Receptionist Screen all incoming telephone calls passing through the telephone trunk lineWelcomes visitors by greeting them in person or on the telephone and answering or referring their inquiries Receive and dispatch mails and documents drom snd to external/ internal recipients Coordinate with building security for access of guests to the officeMake follow up calls to suppliers and other business contactsMonitor arrival and departure of visitors in the reception area.B. Office Administration Inventory and distribution of office supplies and consumables Ensure timely preparation of the Purchase Orders (POs) for the office supplies and equipment acquisition Updates supplies request in the Supplies House Ordering and Purchasing System (SHOPS)Release of checks as payment Customer Checkbook processing Coordinate with service providers for necessary maintenance of office equipment Supervise cleaning of office premises.C. CommunicationsPerform duties related to SWIFT and fax communications in the absence of the person in chargePerform 1st decision approval in OFAC System in the abence of the person in charge.D. Expense Administration Handle petty cash administrationPrepare instruction sheet for expense payment processing including preparation checks, remittances, credit advice and tax certificates preparation.E. OthersStore and manage Unprocessed ArticlesPerform other tasks as may be assigned by the AD Manager.
