Reporting to the Executive Assistant, this role provides essential administrative, coordination, and office support services across the organization. The position is based in‑office at 350 Sparks Street, Ottawa, with consideration given to a hybrid work arrangement (1–2 days per week from home) following a probationary and training period, subject to operational needs.Your key responsibilitiesAs the Administrative Assistant, you will be responsible for a wide range of administrative and shared services duties, including:Greeting and directing visitors and responding to phone calls, emails, and general inquiries with accuracy and confidentialityScheduling and coordinating committee meetings, including planning, communication, and document distributionSupporting larger events with material preparation, shipping, and in-person logisticsMaking travel arrangements (flights, accommodations, transportation) in accordance with organizational proceduresPreparing and submitting expense reports and invoices in compliance with internal policiesMaintaining office contact databases and liaising with platform developers as requiredCoordinating staff meetings, boardroom bookings, staff gatherings, and team‑building activitiesManaging incoming and outgoing mail and courier servicesDrafting, proofreading, and editing correspondence and other documentsOrganizing and maintaining electronic and paper filing systemsProviding coverage for the Executive Assistant during vacation periodsSupporting shared services activities such as IT troubleshooting, office supply ordering, equipment maintenance, and reporting building or parking issuesAssisting with special projects as assigned by the Executive Assistant and the Manager of Finance and Shared ServicesWhat we’re looking forThe ideal candidate brings strong administrative expertise and a professional, service‑oriented approach, along with:A Bachelor’s degree or diploma in Business Administration or a related field1–3 years of administrative and event‑planning experienceExcellent verbal and written communication skillsStrong organizational skills and attention to detailProven ability to manage time effectively and meet deadlinesSound judgment, discretion, and resourcefulnessFlexibility, adaptability, and problem‑solving skills while maintaining confidentialityExtensive knowledge of office administration and record‑keeping systemsProficiency in Microsoft 365, particularly SharePoint and Microsoft Teams, with the ability to learn new systemsBilingualism in English and French considered an assetCompensation and benefitsCropLife Canada offers a competitive compensation package for this position, including benefits.To applyTo apply to be part of something transformative, submit a resume and cover letter (in one document) by outlining your interest and how you would be an excellent match for this opportunity.
