This individual ensures the seamless day-to-day management of the Toronto headquarters while supporting executive leadership and coordinating key administrative processes, including onboarding and asset management.This role requires discretion, initiative, exceptional organizational capability, and comfort operating in a fast-paced, growth-oriented environment.Key ResponsibilitiesOffice OperationsOversee daily office management and ensure a professional, organized, and welcoming workspaceManage office supplies, vendor relationships, and service providersCoordinate maintenance, repairs, and general office upkeepPerform light kitchen and hospitality dutiesEnsure meeting rooms are prepared for client and partner visitsOnboarding & Employee AdministrationCoordinate onboarding of new hires, ensuring a seamless first-day experienceOrder and provision laptops, equipment, and office accessLiaise with IT to ensure systems and credentials are prepared in advancePrepare and finalize employment contracts and related documentationMaintain organized personnel files and administrative recordsSupport offboarding processes including equipment collection and access coordinationExecutive & Administrative SupportProvide administrative support to the CEO and PresidentManage calendars and coordinate meetingsPrepare meeting materials and assist with follow-upsMaintain strict confidentiality on sensitive corporate mattersTravel & Event CoordinationBook and manage domestic and international travel arrangementsCoordinate complex executive itineraries and proactively manage changesAssist in planning and executing internal meetings and corporate eventsCoordinate venue bookings, catering, and event logisticsAdministrative Finance SupportCollect, organize, and submit receipts and expense documentationSupport expense tracking and coordination with the finance teamAssist with invoice tracking and vendor payment coordinationOverseeing the timely submission and accurate entry of employee timesheets, ensuring all hours are properly recorded, reviewed, and compliant with company policiesQualifications & Experience2–5+ years experience in office management or executive administrative rolesExperience supporting senior executives preferredStrong organizational and multitasking abilitiesHigh level of professionalism, discretion, and attention to detailExperience coordinating onboarding processes and equipment provisioningFamiliarity with basic contract administrationProficiency in Microsoft Office and Google WorkspaceExperience booking travel and managing vendor relationshipsPersonal AttributesHighly organized and process-orientedProactive and solution-drivenStrong communicator with a service mindsetComfortable operating in a high-growth, entrepreneurial environmentCalm, discreet, and dependable
