Department: Natural Sciences Salary: $36,294 - $39,470DescriptionJob SummaryThe Administrative Assistant II performs a variety of administrative tasks, including financial and human resources tasks, to support the students, staff, and faculty of a moderately complex department or unit.DutiesProvides general assistance and information to students, faculty, and staff as requiredPerforms general office tasks, including, but not limited to, answering phones and emails, ordering office supplies, running reports, ordering promotional items, and ordering business cardsMaintains records relating to administrative, financial, and human resources mattersPrepares expenditure and personnel documents; assists with budget reconciliationsReceives and submits facilities requests; coordinates the planned maintenance and acquisition of equipment and services from the IT and Facilities departmentsPrepares and distributes communications and correspondence on behalf of othersAssists with contracts as required, gathering quotes, preparing documents, and obtaining signaturesMaintains diaries and schedules for others as necessary, including scheduling appointments, organizing meetings, and making travel arrangementsAssists with coordinating events; attends and assists at events as requiredMaintains departmental inventoryMarginal DutiesPerforms all other duties as assignedPerforms tasks related to specific department/collegeSupervisory ResponsibilitiesDirect ReportsMay supervise Student EmployeesDelegation of WorkMay assign work to subordinate(s)Supervision GivenMay supervise the work of student workersQualificationsRequired Education30 hours of college course workRequired ExperienceMinimum of two (2) years of related job experienceLicense/CertificationNone requiredPreferred QualificationsNoneKnowledge, Skills And AbilitiesKnowledgeKnowledge of general office and administration tasks and equipmentknowledge of relevant university policies and proceduresSkillsGood technical skills, including strong proficiency in MS Office and PeopleSoftStrong analytical and problem solving skillsExcellent interpersonal, communication, and customer service skillsGood attention to detailStrong organizational skillsAbilitiesAbility to work in a timely mannerAbility to multitaskAbility to communicate effectively with a wide range of individuals and constituencies in a diverse university communityWork Location and Physical DemandsPrimary Work LocationWorks in an office environmentPhysical DemandsWork is performed in a typical interior work environment which does not subject the employee to any unpleasant elements; individual has discretion in relation to walking, standing etc., and has minimal exposure to physical risksMust have precise hand-eye coordination and the ability to identify and distinguish colorsMust have the ability to move items of up to 40lbsAll positions at the University of Houston-System are security sensitive and will require a criminal history check.The University of Houston System and its universities are Equal Opportunity Institutions.
