Job Description

This is a 6-month contract role (with potential for extension) in North York, ON, serving as a critical Administrative Assistant III to one or more Director(s) of Human Resources.Working Conditions• Working Hybrid Model (onsite Mon/Tues/Thurs and remotely Wed/Fri) • Open office environment.• Requires flexibility to adjust work hours to support and accommodate Director(s) as needed, including during evenings and weekends (infrequent).• May experience conflict in prioritizing workloads for multiple stakeholders.• May require bending, lifting of office equipment, files, etc.• Extensive computer usage may cause eye strain. Core RequirementsExperience: Minimum of five (5) years of secretarial/administrative work experience.Confidentiality: Demonstrated ability to recognize and work with confidential information (HR matters, financial matters) in a professional manner.Senior Support: Experience preparing and revising documents/materials for senior and executive leaders. Experience with presentation preparation is required.Administrative Proficiency: Strong knowledge of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) at a high level, SharePoint, and cloud-based applications like Workday.Communication: Excellent grammar, spelling, punctuation, and proofreading skills for correspondence. High degree of discretion, tact, and diplomacy in verbal and written communication.Key Functional SkillsCalendar Management: Ability to manage and coordinate multiple complex calendars.Organization & Prioritization: Demonstrated ability to prioritize, organize, and coordinate work effectively in a proactive and resourceful manner.Independence: Ability to work independently with minimal supervision and manage multiple tasks.Travel & Events: Experience managing frequent and complex travel, conference reservations, and event planning.
