Administrative Assistant – Financial ServicesLocation: Hybrid or Remote; based in the Tri-County Area (Miami-Dade, Broward, or Palm Beach, FL)Compensation: $65,000 to $80,000 depending on experience | Full-Time | W2 with benefitsAbout the Role:Our client is seeking a highly organized and proactive Administrative Assistant to support the lead advisor of a growing financial services firm. This is an operational and support-focused role. The right candidate will manage daily administrative tasks, coordinate client service, and keep the advisor’s schedule and inbox on track. The ideal person is disciplined and detail-oriented, with experience in a financial, insurance, or professional services environment. This role offers remote flexibility for the right candidate, with a preference for those based in South Florida.What You’ll Do: Monitor the advisor’s inbox daily, triaging messages, tracking follow-ups, and reducing email overloadManage and protect the advisor’s calendar, including scheduling select client meetings and preserving time for deep work and projectsMaintain client service dashboards and live tracking of review schedules, policy renewals, and planning follow-upsProactively coordinate client meetings and ensure prep work and updates are ready in advanceGather and organize documentation for insurance applications or investment service requests, packaging clean submissions for the processing teamTrack submission status and ensure each case reaches completion without bottlenecksSupport marketing follow-through, including birthday reminders, relationship management lists, and client appreciation campaignsKeep the advisor informed daily of priorities, outstanding items, and next stepsServe as a polished and professional point of contact for client communicationMaintain working knowledge of compliance standards and help ensure communication and submissions meet firm guidelinesWhat We’re Looking For:3+ years in an administrative support, executive assistant, or client service roleExperience in financial services, insurance, or a broker-dealer environment preferredStrong organizational, communication, and follow-through skillsSelf-motivated, responsive, and adaptable, with a proven ability to work effectively in a remote or hybrid settingTech-savvy and comfortable using email, CRMs, task management tools, and Microsoft ExcelUnderstanding of basic compliance guidelines in financial services is helpfulActive Florida 2-15 License or Series 7 License preferred
