About the Role:Reporting to the Site Director, your role as the Administrative Officer ensures smooth and efficient office operations by managing administrative, facility, and vendor functions. Your role also handles government submissions and compliance documentation, working closely with internal teams and external partners.As the designated Safety Officer, you will also play a key role in supporting compliance with DOLE’s Occupational Safety and Health (OSH) requirements, helping maintain a safe, organized, and compliant workplace.What You'll Do:Responsibilities include:Office & Facilities Management Liaise with building management for maintenance, repairs, safety, and security concerns. Coordinate emergency drills, compliance requirements, and general facility upkeep.Supervise housekeeping, pest control, and security services to maintain a clean, safe, and compliant workplace.Oversee office facilities, equipment, and utilities, including inventory monitoring, procurement of office and pantry supplies, and coordination of vendors, deliveries, and couriers.Manage vendor relationships and service providers to ensure quality, timeliness, and adherence to standards.Handle office communications, incoming mail, visitor reception, and general correspondence.Organize and coordinate meetings, travel, company events, and employee engagement activities to support operational efficiency and team collaboration.Maintain and administer office security access, including issuance and cancellation of ID and access cards, and coordinate access lists with HR.Support HR in maintaining updated emergency contact and safety information.Provide general administrative and executive support, including assistance with special projects as assigned.Government Transactions & ComplianceCoordinate submissions, payments, and documentation with agencies such as the Bureau of Fire Protection (BFP), City Treasurer’s Office (CTO), and Board of Investments (BOI).Ensure timely renewals and record-keeping of all permits, licenses, and compliance-related documents.Partner with internal and external teams to prepare required documentation for audits, renewals, and regulatory inspections.Safety Officer ResponsibilitiesServe as the designated Safety Officer (SO1) in compliance with DOLE/OHS requirements.Support implementation of safety policies, maintain training and drill records, and coordinate emergency response and first-aid readiness.Attend the required DOLE-accredited SO1 training (if not yet completed).What You Bring:Bachelor’s degree in any field.Minimum of 3 years’ experience in office administration, facilities coordination, or compliance support.Knowledge of local government processes and familiarity with OSH/DOLE compliance preferred.Strong organizational, multitasking, and communication skills.Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).Able to work independently and collaborate across teams in a fast-paced environment.Willing to work onsite in Bonifacio Global City (BGC), Taguig.
