EMPLOYMENT TYPE: PermanentDEPARTMENT: Office ServicesDIVISION: Private Capital ServicesWORKPLACE STRUCTURE: HybridROLE OVERVIEWPURPOSE OF JOBTo provide effective receptionist, statutory, and administrative support to ensure the smooth and efficient operation of the office.MAIN DUTIES AND RESPONSIBILITIESGreet visitors, clients, and employees with professionalism and a welcoming demeanour.Answer, direct incoming calls and updating the phone log; manage voicemails and inquiries.Coordinate visitor sign-in/out; and maintain security protocols.Manage incoming and outgoing mail, packages, and courier arrangements.Provide high-level administrative assistance to management and team members.Schedule and coordinate meetings, appointments, and conference room bookings.Prepare correspondence, reports, presentations, and other documents as requested.Assist with travel arrangements, including accommodation and transportation for clients.Maintain and update company databases, contact lists, and filing systems (electronic & paper).Monitor and order office supplies; liaise with vendors and service providers.Assist with organizing company events, meetings, and training sessions.Ensure adherence to company policies and procedures.Maintain accurate records of attendance, visitor logs, and administration documentation.Handle confidential information with discretion.Manage banking documentation and filing (Advices and Statements).Maintain and update KYC (Know Your Customer) documents for all signatories.Process DHL invoices in a timely and accurate manner.Manage overtime meals and transport for staff. ESSENTIAL REQUIREMENTSMinimum of 2 years’ experience in a receptionist, administrative assistant, or office administration role.Excellent verbal and written communication skills.Strong time management, multi-tasking abilities, and attention to detail.Proficient in Viewpoint system, MS Office Suite (Word, Excel, Outlook, PowerPoint) and office management software.Professional presentation and interpersonal skills.Ability to exercise discretion and maintain confidentiality.Experience supporting senior managers/leadership.Strong problem-solving and decision-making skills.
